Position: Construction Project Admin / Operations Assistant (Full-Time Remote)

Elevated Tiling is a growing commercial tiling and waterproofing company based in Melbourne, Australia. We work on medium–large construction projects and are building structured systems to scale.

We are looking for a highly organised, detail-oriented Project Admin to help manage documents, deliveries, variations, and project coordination.

This is a long-term role for someone who wants stability and growth.

???? Role Overview

You will be responsible for keeping our projects organised, up to date, and running smoothly behind the scenes.

You must be structured, proactive, and comfortable working with construction drawings and systems.

? Responsibilities
???? 1. Google Drive & File Management

Organise project folders properly

Move awarded tenders to Live Projects

Upload and manage:

Drawings

Markups

Takeoffs

Schedules

Maintain strict file naming conventions

Ensure site managers always have access to correct documents

Archive completed projects

???? 2. Daily Drawing Control (CRITICAL)

Check email and builder portals daily for new drawing revisions

Upload updated drawings immediately

Label old drawings “SUPERSEDED – DO NOT USE”

Notify estimator and site manager of changes

Log drawing revisions in a register

Identify potential variation triggers from drawing changes

???? 3. Deliveries & Lead Time Tracking

Track supplier lead times

Maintain delivery tracking spreadsheet

Confirm delivery bookings with builders

Send access instructions to suppliers and drivers

Confirm materials arrived on site

Log damages or shortages

???? 4. Site Access & Delivery Coordination

Maintain site access notes (basement height, lift access, booking systems)

Coordinate delivery times

Communicate between site manager and suppliers

???? 5. Variations Management

Prepare variations in Buildxact

Send to builders

Follow up on approvals

Track variation status

Send approved variations to accounts

Update variation log

???? 6. Email & Receipt Handling

Send receipts to correct inbox

Ensure supplier invoices go to accounts

Label and organise emails properly

Save important approvals to Drive

???? 7. Workforce Admin (Buildxact)

Invite workers to projects

Allocate correct access

Remove workers from completed projects

Ensure project data is correct

???? 8. Tiler & Site Follow-Ups

Inform tilers about:

Approved variations

Material deliveries

Drawing updates

Start dates

Ensure daily progress photos are submitted

Log site issues or delays

???? Requirements

Excellent English (written and spoken)

Extremely organised

Strong attention to detail

Comfortable reading construction drawings (or willing to learn)

Experience with:

Google Drive

Gmail organisation

Excel / Google Sheets

Construction industry experience is highly preferred

Buildxact or similar software experience is a bonus

Full-time
Monday–Friday
Saturday and Sunday availability when required
Aligned with Australian business hours (Melbourne time)
12 hours days availability.
Start at 7am AEDT.
