About the Role
We are hiring a full-time Construction Admin Virtual Assistant to support commercial tenant improvement (TI) projects ranging from 5,000 to 10,000 square feet. This role supports the full project lifecycle, from pre-acquisition through Certificate of Occupancy and final handoff.
You will work closely with general contractors, subcontractors, lenders, and city officials to ensure projects stay organized, on schedule, and compliant.
What You’ll Be Doing
In this role, you will be responsible for managing RFPs and contractor bidding by creating scopes of work, handling multiple bids per trade, building comparison sheets, and verifying contractor compliance documents such as COIs and W-9s.
You will also oversee budgeting and draw management, including maintaining monthly draw schedules, reviewing AIA G702 pay applications, collecting lien waivers, coordinating with construction lenders, tracking budgets, and processing change orders.
A key part of your role will involve coordinating with general contractors and subcontractors by maintaining project schedules, tracking daily logs and trade sequencing, and managing punch lists to ensure smooth project execution.
You will support city and municipality coordination by conducting zoning research, assisting with permit submissions, tracking approvals, and scheduling inspections.
Additionally, you will handle documentation and administrative tasks such as organizing Google Drive folders, maintaining compliance trackers, providing weekly project updates, and updating SOPs as processes evolve.
Requirements (Non-Negotiable)
We are looking for someone with proven construction project management experience, preferably in commercial tenant improvement projects. You must be familiar with AIA G702 pay applications and lien waivers and have daily working experience using ClickUp, Slack, Google Drive, and AI tools such as ChatGPT or Claude.
Strong English communication skills, both written and verbal, are required, along with a high level of organization and attention to detail to manage strict deadlines and documentation standards.
Schedule & Compensation
This is a full-time role, Monday through Friday from 8:00 AM to 5:00 PM CST. The pay ranges from $12 to $14 per hour, with a $1,000 bonus for each successfully completed project. You will also receive 10 PTO days per year.
