Role Overview
The Conference & Events Coordinator provides operational and administrative support for Fortra Conferences and related events. This role is responsible for maintaining conference systems, supporting attendee and sponsor coordination, assisting with marketing workflows, and helping ensure event information is accurate and up to date across platforms.
This position works closely with the Marketing, Events, and Graphics teams and supports senior conference leadership with execution and coordination.

Key Responsibilities
Conference Systems & Data Management
• Maintain and update Airtable, Wrike, and Cvent for all conferences
• Add and update attendee, sponsor, and speaker records across systems
• Regularly audit attendee and sponsorship tabs to ensure accuracy and consistency
• Upload attendee lists to Wrike and shared drives; assist with internal and partner distribution
• Update Airtable following mail merges and registration updates

Sponsor & Attendee Coordination
• Register confirmed sponsors in Airtable, Wrike, and Cvent
• Assist with tracking sponsorships, registrations, and deliverables
• Support attendee communications and internal reporting needs

Marketing & Website Support
• Maintain and update conference websites with current information
• Coordinate with the graphics team on:
o Conference graphics
o Sponsor materials
o Speaker bios and headshots
o Swag and signage requests
• Submit graphic request forms for approved, straightforward items

Project & Administrative Support
• Create Wrike projects for confirmed conferences
• Update marketing agendas, Wrike tasks, Excel sheets, and conference agendas based on meeting notes and leadership direction
• Create calendar invites for new conferences, meetings, and events

Travel & Event Logistics Support
• Assist with coordinating travel and hotel logistics with partners’ assistants once conference attendance is confirmed
• Book travel for the marketing team when applicable

• Clear written and verbal communicator
• Interest in conferences, events, and marketing operations

Specific Requirements:
(a) Proficiency in the English language
(b) Must have reliable power and internet connection
(d) Work Pacific Time (Main Office is located in California)
(e) Must own a personal laptop (Windows or Mac) with a valid, fully licensed operating system. Minimum specifications: Windows 10 or macOS 12, Intel Core i5-1235U 1.30 GHz processor (or Apple M1/M2 equivalent), and at least 16GB of RAM.
(f) Must complete a speed test, meet system specification requirements, and meet laptop specification requirements.
Hours: 8:30 am—5:00 pm, PT, Monday through Friday
Salary: $800-$1000 a month plus $75 supplemental pay to use toward health insurance
