Position Summary
The Compliance Specialist is responsible for supporting and executing state charitable registrations, renewals, and required charity-related annual filings. This includes gathering client documents, reviewing financials, completing state forms, following SOPs, and ensuring accuracy and timeliness in all filings.
You will work closely with the CEO to build, execute, and continuously improve the operational backbone of the company — including SOPs, checklists, workflows, and QA processes.
This role requires sustained attention to detail; repeated errors, missed deadlines, or incomplete work are not acceptable.
This is a hands-on execution role with tremendous room to grow as Compliance Express expands.
Key Responsibilities
State Filing Execution
- Prepare and submit state charitable registrations, renewals, exemptions, and annual reports.
- Follow detailed SOPs to complete filings accurately and consistently.
- Track deadlines for all assigned states and clients.
- Ensure every filing meets state-specific requirements.
- Own assigned filings end-to-end, from intake through and post submission and confirmation.
Document & Data Management
- Collect, organize, and verify client documents (IRS letters, 990s, financials, officer lists, fundraising data).
- Extract, validate, and input data into forms, portals, and internal trackers.
- Maintain structured digital filing systems.
Quality Assurance
- Conduct thorough accuracy checks before submitting any filing.
- Identify inconsistencies, missing information, or risks in client documents.
- Flag issues early and proactively request clarifications.
Client Coordination
- Request missing documents or clarifications from clients using clear, professional communication.
- Provide status updates on filings and address client questions.
- Maintain a helpful, service-oriented tone.
Process & SOP Development
- Help refine and build systems, SOPs, workflows, and checklists.
- Suggest improvements that reduce errors or speed up filings.
- Assist in establishing internal quality-control processes.
General Operations Support
- Maintain trackers, logs, calendars, and status dashboards.
- Assist with payment tracking, portal logins, and state notifications.
- Support the onboarding of new clients.
Required Skills & Qualifications
- Strong attention to detail and accuracy
- Ability to produce high-quality, accurate work efficiently
- Excellent written and verbal English communication
- Ability to write and follow structured workflows and SOPs
- High proficiency in Microsoft Office / Google Workspace
- Ability to learn new systems, portals, and processes quickly
- Strong organizational skills and ability to manage deadlines
- Comfortable handling sensitive documents and data
- Reliable, self-managed, and able to work independently
- Relevant college degree required (Legal/Paralegal)
- Experience with compliance, legal admin, AML/KYC, audit support, or regulatory filings
- Experience in nonprofit administration or charitable registration (preferred)
- Familiarity with U.S. state portals or government filings (preferred)

This role is accuracy-critical; repeated errors or missed deadlines will result in termination during the trial period
Compensation
- Contract role - Trial period: 1 day, then 1 week, then 1 month
- $6–8 USD per hour, depending on experience and performance
- Opportunity for long-term work, growth, and pay increase
- Performance-based bonuses may apply
