We are looking for a part-time **Real Estate / Property Management professional** to support commercial leasing, rent collections, lease renewals, and tenant coordination for a privately owned commercial real-estate portfolio in Southern California.
This is **not a passive data-entry or traditional virtual-assistant role**. We are looking for someone who takes ownership, follows up persistently, uses good judgment, and helps move important issues toward resolution rather than simply waiting for instructions or reporting that they are waiting on someone else.
The right person should be able to look at several open issues, determine what requires attention, gather missing information, coordinate with the people involved, and bring the owner clear recommendations or decisions when needed.
Key Responsibilities
**Commercial Leasing & Vacancies**
* Follow up on commercial vacancy inquiries.
* Coordinate with prospective tenants, brokers, and other parties involved in leasing.
* Track leasing activity, inquiries, tours, applications, proposals, and next steps.
* Follow up when leasing activity stalls and identify what is preventing progress.
* Help gather and organize information needed to evaluate leasing opportunities.
* Keep opportunities moving until they are resolved or a different strategy is approved.
**Rent Collections**
* Track tenants with overdue rent.
* Maintain clear records of communications, commitments, and follow-up dates.
* Professionally follow up with tenants regarding overdue balances and payment commitments.
* Coordinate approved notices and escalation steps using established procedures.
* Identify when an issue requires owner involvement or a different course of action.
**Lease Renewals**
* Track upcoming and expired leases.
* Research and organize market-rent information and other relevant facts for renewal decisions.
* Help prepare information so the owner can evaluate renewal rates and terms.
* Coordinate approved communications and follow-up with tenants.
**Applications & Lease Documentation**
* Collect and organize tenant applications and supporting documentation.
* Collect items such as insurance certificates, financial information, signatures, and other required documents.
* Help complete approved lease and renewal forms.
* Track outstanding documents and signatures.
* Prepare lease packages for final owner review and approval.
**Ongoing Coordination**
* Keep open issues moving rather than simply waiting for other people to respond.
* Follow up with tenants, brokers, prospects, and team members as needed.
* Identify missing information, bottlenecks, and appropriate next actions.
* Coordinate with other members of the property-management team when necessary.
* Escalate matters to the owner when judgment, approval, or a material business decision is required.
### What We Are Looking For
* **Strong written and spoken English.**
* Comfortable making professional telephone calls to U.S.-based tenants, brokers, and prospects.
* Strong follow-through and attention to detail.
* High level of ownership and accountability.
* Good judgment and ability to work independently.
* Ability to prioritize several competing issues.
* Comfortable gathering information and making recommendations rather than simply reporting problems.
* Strong proficiency with **Google Sheets and Google Docs**.
* Comfortable learning new software and processes.
* Reliable availability during U.S. Pacific business hours.
Experience with any of the following is helpful:
* Commercial real estate
* Property management
* Leasing
* Rent collections / accounts receivable
* Lease administration
* Yardi or similar property-management software
* QuickBooks
Direct real-estate experience is useful, but **judgment, initiative, reliability, communication, and ability to learn are more important than a particular job title or number of years of experience.**
### Hours & Schedule
This position will start at approximately **10–15 hours per week**, generally spread across Monday through Friday.
We expect roughly **2–3 hours of work per business day**.
You must have a consistent work window that falls somewhere within **8:00 AM–5:00 PM U.S. Pacific Time**. We do not require one specific shift; please tell us in your application what Pacific-Time hours you can consistently work.
Occasional flexibility for scheduled calls may be required.
The role is intended to be a **long-term part-time position**, and hours may change over time depending on workload and performance.
### Compensation
**US$6–$10/hour**, depending on relevant experience and demonstrated ability.
We are willing to pay toward the higher end of the range for someone who demonstrates strong judgment, communication, ownership, and directly relevant experience.
