Virtual Assistant — Debt Placement (DealRail LLC)

Full-cycle: match deals to lenders, submit packages, follow up to term sheet

About DealRail

DealRail LLC ( ---------- ) is a commercial loan brokerage based in Pompano Beach, FL, serving borrowers across the U.S. We broker business-purpose loans only — DSCR, bridge, fix-and-flip, ground-up, SBA, mobile home park, multifamily, and other commercial programs. We are not a lender and do not handle consumer or home loans.
Founder team: Spencer Thomas (CEO), David Delgado (COO), Jonathan Reich (CTO).
We have a proprietary 231-lender research workbook with program notes, states covered, property types, loan-size ranges, and broker-friendliness flags. Your job is to work that book to get deals placed.
Role overview

You will own the placement workflow end-to-end for each incoming loan request: intake → lender match → package → submit → follow-up → term sheet summary.
This is not a data-entry role. We need someone who understands commercial debt, can read a deal quickly, and can push lenders for answers without being pushy.
Responsibilities

1. Intake & QC — Review new applications from dealrail.co/apply for completeness. Run our document checklist, flag gaps, and request missing items from the borrower.
2. Lender matching — Match each deal against the 231-lender workbook using: loan program, loan size, state, property type, and broker-friendly status. Produce a shortlist of 5–10 best-fit lenders with a one-line rationale per lender.
3. Package building — Build a clean lender submission package: executive summary, sources & uses, property/borrower snapshot, and supporting docs. Keep it tight — lenders skim.
4. Submission — Submit via lender portals and email, logging every submission (date, contact, method) in our tracker.
5. Follow-up — Run a disciplined follow-up cadence (Day 1, 3, 7) until you get a decline or term sheet. Escalate hot responses to Spencer same-day.

6. Term sheet triage — Collect term sheets, normalize key terms (rate, LTV/LTC, fees, term, prepay, conditions) into a comparison sheet, and flag the top 2–3 for Spencer.
7. Database hygiene — Keep lender notes current. Flag program changes (e.g., a lender exiting a program or being acquired) when you spot them.
Must-haves


2+ years in commercial lending, mortgage brokering, or as a lender BDO / loan processor / broker assistant
Working knowledge of DSCR, bridge, fix-and-flip, and SBA basics; mobile home park / multifamily familiarity is a plus
Excellent written English — you will email lenders as DealRail
Strong Excel/Google Sheets; comfortable in CRMs and lender portals
Organized tracker mindset: nothing slips, every follow-up has a date
Available for overlap with U.S. Eastern business hours
Nice-to-haves

Existing relationships with wholesale / broker-friendly lenders
Experience with Finsight, Lender Price, or similar submission tools
Prior VA/remote placement experience with a U.S. broker
What success looks like


30 days: You can independently match and submit 3–5 deals/week with clean packages and zero missed follow-ups.
60 days: You are running the full pipeline and surfacing 2–3 competitive term sheets per viable deal.
90 days: Lender response rates and placement speed are measurably up; Spencer only touches exceptions and negotiations.
Hours & pay

Part-time to start with a path to full-time as volume grows (to be confirmed)
Remote; U.S. Eastern hours overlap required
Pay commensurate with commercial lending experience
