About the Role
Our thriving plastic surgery practice in Houston is seeking an exceptional Virtual Patient Care Coordinator to manage the complete patient journey—from initial inquiry to booked consultation. This is a high-impact, sales-driven position where you'll combine medical expertise with consultative selling to convert leads and drive practice growth.

IMPORTANT: This role REQUIRES a strong medical background (RN, physician, PA, or equivalent) to properly evaluate leads and assess patient needs.

PRIMARY RESPONSIBILITIES

Lead Management & Virtual Consultations

Triage all inbound inquiries (phone, email, web forms) and create patient profiles in our EMR/CRM
Conduct virtual consultations via Zoom/Google Meet to educate patients, build trust, and present customized treatment options

Generate accurate quotes for surgical and non-surgical procedures
Guide patients through decision-making, address objections, and close sales
Assist patients with financing applications (CareCredit, PatientFi) to maximize approvals
Identify upsell opportunities for complementary treatments and skincare products
Send follow-up materials: financing info, pre-op packets, consent forms
Scheduling & Coordination

Manage physician's surgical and clinical calendar with precision
Coordinate all procedure logistics: surgical facility bookings, pre-op appointments, anesthesiology scheduling
Serve as liaison between virtual patients and in-office clinical team
Process deposits and payments according to practice protocols
Patient Communication & Nurture

Act as primary point of contact for all non-clinical patient questions (pre-operative phase)
Respond promptly via phone, email, and text; document all interactions in EMR
Route clinical questions directly to physician (no medical advice)
Maintain long-term nurture campaigns to re-engage und ---------- prospects
Reputation Management

Proactively request 5-star reviews on Google, RealSelf, and Yelp
Collect patient testimonials, photos, and videos for marketing
Address patient concerns professionally to maintain stellar online reputation
Reporting & Data Management

Maintain accurate, up-to-date records in CRM/EMR
Provide weekly KPI reports (lead volume, conversion rates, revenue booked)
Offer insights to optimize sales strategies and patient experience
REQUIRED QUALIFICATIONS

Medical Background (CRITICAL BUT MANDATORY WITH EXPERIENCE)

RN, physician, PA, or equivalent medical credential
Ability to assess and triage patient complaints and potential complications
Strong clinical documentation skills
Capacity to accurately evaluate lead quality
Sales & Business Skills

3+ years as Patient Care Coordinator or Sales Consultant in cash-based medical practice (plastic surgery or medical spa preferred)
Proven track record of high conversion rates (lead ? consultation ? booking)
Strong upselling abilities and understanding of complementary aesthetic services
Consultative sales approach with ability to build rapport and overcome objections
Technical Requirements

Excellent written and spoken English (clear, professional, persuasive communication)
Comfortable conducting video consultations with confidence and polish
Proficiency with Google Suite (Gmail, Google Calendar, Google Drive)
Ability to quickly learn new software (4th Dimension EMR, Go High Level)
Reliable high-speed internet (minimum 50 Mbps)
Professional, quiet home office setup
Modern computer with quality webcam and headset
Other Essentials

Understanding of HIPAA compliance and secure handling of patient health information
Strong organizational skills and attention to detail
Self-motivated and able to work independently
Available to work hours that align with Houston, TX time zone (CST)
PREFERRED QUALIFICATIONS

Experience with 4th Dimension EMR, Nextech, Go High Level, or Avality
Bilingual (English/Spanish)
Formal sales training (Consultative Selling, Sandler System, etc.)
Familiarity with aesthetic financing platforms (CareCredit, PatientFi)
Previous experience in plastic surgery or aesthetic medicine
