Clinical Operations Manager – Registered Nurse
Home Health Experience Required
Full-Time Remote Position | Philippines-Based | U.S. Eastern Time Hours
Zeabe is a growing non-medical home care agency based in Delaware, USA. We provide dependable in-home care services and are building the clinical and operational systems needed to support continued growth while maintaining quality, compliance, and excellent client care.
We are looking for an experienced Registered Nurse with genuine Home Health/Home Care clinical operations experience to join us as our Clinical Operations Manager.
Please Read Before Applying
This is not a Virtual Assistant, Healthcare VA, Medical VA, Medical Receptionist, or general administrative position.
To be considered for this role, you must:
Be a licensed Registered Nurse.
Have worked professionally as an RN.
Have direct experience in a Home Health, Home Care, Private Duty, or comparable in-home care environment.
Have meaningful experience managing, coordinating, supervising, or overseeing clinical operations.
Have been responsible for ensuring other people complete required clinical work, documentation, visits, or deadlines.
If your experience is primarily administrative or Virtual Assistant work, even within healthcare, this position is unlikely to be the right fit.
Likewise, holding an RN license alone is not enough. We are specifically looking for someone who has used their nursing background within Home Health/Home Care and understands the operational side of delivering care in the home.
About the Role
The Clinical Operations Manager is responsible for the day-to-day operational execution of Zeabe's clinical services.
The role ensures clients move smoothly from referral through admission, ongoing supervision, recertification, required clinical visits, documentation, and ongoing service delivery while maintaining accurate records, timely follow-up, and regulatory compliance.
You will work closely with our Clinical Director and serve as the operational leader behind the clinical function.
While the Clinical Director owns overall clinical standards, quality, and clinical leadership, the Clinical Operations Manager owns much of the coordination, execution, monitoring, accountability, and follow-through required to make sure clinical work actually gets completed correctly and on time.
You will work across:
Clinical Support Team
Staffing Coordinator
PRN Registered Nurses
Client admissions
Recertifications
Supervisory visits
Clinical documentation
Clinical scheduling and assignments
Compliance-related follow-up
Operational tracking and reporting
This is primarily a Clinical Operations Management position, not a bedside nursing role.
However, your RN background is essential because you must understand the clinical work you are coordinating, recognize when something does not look right, communicate effectively with nurses, identify potential clinical risks, and understand what needs to be escalated.
Primary Objective
Build and operate a reliable clinical operating system that consistently delivers timely, compliant, accurate, and well-coordinated care.
What You Will Be Responsible For
Coordinate clinical operations from referral and admission through ongoing supervision and service delivery.
Ensure admissions, recertifications, supervisory visits, documentation, and follow-up activities are completed accurately and on time.
Maintain accurate, complete, and compliant clinical records across required systems.
Lead the Clinical Support Team and Staffing Coordinator to deliver consistent operational outcomes.
Coordinate PRN Registered Nurse assignments and monitor completion of required clinical activities.
Identify operational risks, resolve process gaps, and appropriately escalate clinical concerns.
Maintain clear visibility over outstanding clinical work so we know what needs to be completed, who owns it, when it is due, and what requires escalation.
The Experience We Are Looking For
We are looking for someone who has actually worked inside Home Health or Home Care clinical operations.
Your experience may include areas such as:
Home Health or Home Care clinical operations
Managing or coordinating field nurses
Admissions or Start of Care processes
Recertifications
Supervisory or reassessment visits
Plans of Care
Clinical documentation review
Chart audits
Clinical compliance
Quality assurance
Tracking required clinical visits
Managing overdue documentation
Coordinating nurses and clinical support staff
Correcting incomplete clinical records
Following up on missed clinical requirements
Clinical scheduling
Home Health EMR/EHR systems
Medicaid, Medicare, VA, Private Duty, or other regulated home-based care environments
You do not need to have performed every item on this list.
What matters is that you have genuine clinical operations experience, rather than simply providing administrative support to people who managed clinical operations.
What This Role Really Requires
This position requires much more than maintaining a task list.
You will be expected to know:
What needs to be completed.
Who is responsible for completing it.
What is currently outstanding.
What is overdue.
What does not appear accurate.
What needs follow-up.
What needs escalation.
What recurring problems need a better system.
If a required nursing visit has not happened, we expect you to notice.
If documentation is incomplete, we expect you to identify it.
If someone tells you something is being handled but it remains unresolved, we expect you to follow it through.
If the same problem keeps occurring, we expect you to help determine why and improve the underlying process.
Leadership and Accountability
We are not looking for someone who simply waits to receive assignments.
The successful person will be comfortable:
Taking ownership of operational outcomes.
Directing and coordinating other team members.
Checking whether work has actually been completed.
Following up when deadlines are missed.
Addressing incomplete or inaccurate clinical documentation.
Asking questions when information does not appear correct.
Holding nurses and support team members accountable for agreed requirements.
Maintaining urgency around important clinical work.
Escalating concerns rather than allowing them to remain unresolved.
Following an issue through until it is fully closed.
Improving processes when the same problem repeatedly occurs.
You should be comfortable having a conversation such as:
"This was due yesterday and has not been completed. What is preventing completion, and when will it be finished?"
You can be professional and respectful while still being clear and firm about expectations.
This Role Is Likely a Good Fit for You If...
You are an RN who has genuinely worked in Home Health/Home Care.
You understand clinical operations beyond simply providing nursing care.
You have coordinated, supervised, or managed nurses or clinical support staff.
You naturally take ownership rather than waiting to be told what to do next.
You notice when a required visit, signature, document, date, or clinical item is missing.
You do not assume something has been completed just because someone says they are working on it.
You continue following up until an issue is completely resolved.
You are comfortable checking other people's work.
You address missed deadlines rather than avoiding uncomfortable conversations.
You work with a sense of urgency while maintaining accuracy.
You enjoy bringing structure and order to complicated clinical workflows.
You prefer clear standards, documented processes, and measurable outcomes.
You can quickly explain the current status of important outstanding items.
You question information when it appears incomplete or inconsistent.
You enjoy improving systems so the same operational problems do not continue happening.
This Role Is Probably Not for You If...
Your healthcare experience is primarily as a Virtual Assistant or Healthcare VA.
You have never worked professionally as a Registered Nurse.
You hold an RN license but have never used it professionally in Home Health/Home Care.
Your nursing background is exclusively bedside hospital nursing with no meaningful Home Health/Home Care operational experience.
You have supported a Clinical Manager but have never personally been accountable for clinical operational outcomes.
You prefer receiving clearly defined individual tasks rather than owning a process.
You avoid following up with people when deadlines are missed.
You are uncomfortable checking another nurse's documentation or work.
You tend to accept that something is being handled without verifying completion.
You regularly need your manager to tell you what to do next.
You dislike detailed documentation, compliance requirements, or structured processes.
You prioritize avoiding uncomfortable conversations over addressing an important missed requirement.
You tend to start many things but struggle to consistently close them.
Required Qualifications
You must have:
An active Registered Nurse license.
Professional experience working as an RN.
Direct Home Health, Home Care, Private Duty, or comparable in-home care experience.

Experience managing documentation, clinical visits, deadlines, follow-up, or compliance requirements.
Strong written and spoken English.
Excellent attention to detail and documentation accuracy.
Confidence following up on late, incomplete, or inaccurate work.
The ability to distinguish routine operational issues from matters requiring clinical escalation.
Experience using healthcare technology, EHR/EMR software, Home Health software, or comparable clinical systems.
Strong working knowledge of spreadsheets and cloud-based business applications.
The ability to work independently and take ownership.
Availability to work the required U.S. Eastern Time schedule.
