We are seeking a highly skilled Clinical Operations Manager to oversee daily clinic operations, support the physician with advanced clinical tasks, and supervise junior virtual assistants. This role requires RN or Clinical Lead level experience, strong organizational abilities, and excellent communication skills.
This is a leadership position that blends clinical expertise, operational management, and patient-facing responsibilities.

Core Responsibilities
Clinical Operations & Physician Support
• Review physician notes, medical histories, and clinical documentation
• Execute physician orders accurately and promptly
• Order labs, imaging, and diagnostic tests
• Download, organize, and upload lab results into the EMR
• Track pending results and follow up with labs or patients
• Create and maintain accurate patient medication lists
• Assist with medication related workflows (non prescribing)
• Coordinate with compounding pharmacies and vendors
• Ensure all clinical documentation is complete, compliant, and properly categorized

Patient Communication & Care Coordination
• Communicate with patients via phone,
• Provide clear, patient friendly explanations of instructions, preparation steps, and follow ups
• Manage patient intake, forms, and required documentation
• Ensure patients feel supported, informed, and guided throughout their care

EMR & Documentation Management
• Work daily within the clinic’s EMR system
• Upload, categorize, and maintain patient records
• Identify missing information and proactively request it
• Ensure accuracy, consistency, and compliance across all documentation

Team Leadership & Oversight
• Supervise junior virtual assistants and ensure task completion
• Provide training, guidance, and quality control
• Maintain accountability across the operations team
• Ensure all administrative and clinical workflows run smoothly
• Report daily updates, issues, and progress to clinic leadership

Required Qualifications
• RN, MD (international), or equivalent medical training
• Strong understanding of medications, prescriptions, and clinical workflows
• Experience working with EMRs
• Excellent written and verbal English
• Strong organizational and multitasking skills
• Ability to communicate clearly and compassionately with patients
• Comfortable working in a fast paced, evolving medical environment
• Leadership or supervisory experience preferred
• Reliable, proactive, and able to work independently

Preferred Qualifications
• Experience with compounding pharmacies
• Familiarity with hormone therapy, functional medicine, or chronic care management
• Prior experience in a remote medical support or operations role
• Experience managing or training administrative teams
