Clinical Operations Manager
Full-Time Remote Position | Philippines-Based | U.S. Eastern Time Hours
Zeabe is a growing non-medical home care agency based in Delaware, USA. We provide dependable in-home care services and are building the operational systems needed to support continued growth without compromising quality, compliance, or client service.
We are looking for an experienced Clinical Operations Manager who can take ownership of the day-to-day execution behind our clinical services.
This is not a nursing position and it is not a general virtual assistant role. It is an operational management position for someone who is highly organized, confident following up with others, attentive to detail, and committed to ensuring important work is completed correctly and on time.
About the Role
The Clinical Operations Manager is responsible for the day-to-day operational execution of Zeabe’s clinical services. The role ensures clients move smoothly from referral through admission, ongoing supervision, and service delivery while maintaining accurate records, timely follow-up, and regulatory compliance.
You will serve as the operational right hand to the Director of Nursing / Clinical Director. While the Clinical Director owns clinical standards, quality, and clinical leadership, you will own coordination, execution, accountability, and follow-through across the Clinical Support Team, Staffing Coordinator, and PRN Registered Nurses.
Your primary objective will be to build and maintain a reliable clinical operating system that consistently delivers timely, compliant, and well-coordinated care.
What You Will Be Responsible For
* Coordinate clinical operations from referral and admission through ongoing supervision and service delivery.
* Ensure admissions, supervisory visits, documentation, and follow-up activities are completed on time.
* Maintain accurate, complete, and compliant clinical records across all required systems.
* Lead the Clinical Support Team and Staffing Coordinator to deliver consistent operational outcomes.
* Coordinate PRN Registered Nurse assignments and monitor completion of required clinical activities.
* Identify operational risks, resolve process gaps, and escalate clinical concerns to the Clinical Director.

You will have operational authority within your assigned responsibilities, but you must also recognize when an issue requires clinical judgment and escalate it appropriately to the Clinical Director.

Experience and Qualifications
We are looking for someone with:
* Significant experience in healthcare operations, home care operations, clinical administration, medical administration, or another regulated service environment.
* Experience coordinating appointments, documentation, deadlines, personnel, and multiple operational workflows.
* Experience supervising, leading, or coordinating remote tea
* Strong written and spoken English.
* Excellent attention to detail and documentation accuracy.
* Confidence following up on late, incomplete, or inaccurate work.
* The ability to distinguish operational matters from issues requiring clinical escalation.
* Strong working knowledge of spreadsheets, task-management systems, and cloud-based business applications.
* The ability to learn and consistently follow documented procedures.
* A reliable computer, stable internet connection, and professional remote work environment.
* Availability to work during the required U.S. Eastern Time schedule.
You do not need to be a Registered Nurse. However, experience working within a healthcare, home care, medical, or compliance-sensitive environment is strongly preferred.
You are not expected to have prior experience with every system. We are more interested in your ability to learn structured software systems, maintain accurate information, and follow documented processes consistently.
Working Hours
This is a full-time remote position working during agreed U.S. Eastern Time hours.
Expected schedule: 8:00am to 4:30pm Monday to Friday EST
Monthly compensation: US$1,800 to $2,400 per month
Compensation will be based on experience, qualifications, and demonstrated ability to manage healthcare or clinical operations.
