ABOUT FORGE STUDIO
Forge Studio is a Melbourne-based creative agency specialising in CGI, film, photography, and digital content for property developers and luxury brands. We deliver end-to-end visual campaigns — from 3D architectural renders and cinematic video through to social media management and brand strategy.
Our clients include leading property groups across Melbourne and Bali, and we operate with a lean, high-output team supported by offshore production talent.
We’re looking for a switched-on, detail-oriented coordinator to sit at the centre of our client delivery and social media operations — someone who can keep multiple workstreams moving, create compelling content, and maintain the quality standard our clients expect.
ROLE OVERVIEW
This is a hands-on execution role that bridges client success, social media management, and lightweight project coordination. You’ll be the connective tissue between our creative output and our clients’ audiences, scheduling content, managing approvals, building ad campaigns, and keeping render production workflows on track.
You’ll work across multiple clients and platforms simultaneously, using Notion as your operating system, Dropbox as your asset library, and Meta Business Suite as your publishing and advertising engine.
KEY RESPONSIBILITIES
1. Social Media Content Scheduling & Publishing
• Source and curate creative assets from organised Dropbox folders — including photography, CGI renders, video stills, and branded collateral — selecting the right content for each client’s posting schedule and campaign objectives.
• Write compelling, on-brand captions for every post, tailored to each client’s tone of voice, audience, and strategic goals. Captions must be engaging, grammatically polished, and optimised for platform-specific best practices (hashtags, CTAs, character limits, emoji usage).
• Build and maintain content calendars on Notion, scheduling all creative assets, captions, posting dates, and platform assignments on dedicated client dashboards. Each post should be logged with its associated image, copy, target platform, and status (draft, pending approval, approved, published).
• Submit all scheduled content for client approval via the Notion dashboard workflow before any content goes live. Track approval status, implement client feedback, and re-submit revised content as needed — ensuring nothing is published without sign-off.

• Maintain a consistent posting cadence across all active client accounts, ensuring no gaps in the content calendar and proactively flagging when new assets or approvals are needed to stay on schedule.
2. Meta Advertising (Paid Social)
• Set up and launch ad campaigns in Meta Business Suite
• Configure campaigns end-to-end: select the correct campaign objective (awareness, traffic, engagement, conversions, leads), define target audiences using demographic, interest-based, and behavioural targeting, set budgets and bid strategies, and assign placements (Feed, Stories, Reels, Audience Network).
• Build ad sets and individual ads with correct creative specifications — ensuring imagery and video meet Meta’s format, resolution, and aspect ratio requirements for each placement.
• Write high-performing ad copy including primary text, headlines, and descriptions that align with the client’s brand voice and are optimised for click-through rate and conversion.
• Implement tracking and attribution: install and verify Meta Pixel events, configure custom conversions where applicable, and ensure UTM parameters are appended to all destination URLs for accurate performance measurement.
• Monitor campaign performance daily, reviewing key metrics (CPM, CPC, CTR, CPA, ROAS) and making real-time optimisations — adjusting budgets, pausing underperforming ad sets, refreshing creative, and testing new audience segments.
• Deliver regular performance reports to the Managing Director summarising spend, results, insights, and recommended next steps. Flag any issues with ad delivery, disapprovals, or account health promptly.
• Stay current with Meta platform updates, algorithm changes, and advertising best practices to ensure all campaigns are built and optimised to the highest standard.
3. Project Workflow Management (3D Renders)
• Set up and maintain project dashboards on Notion for active 3D render jobs, using the established Forge Studio workflow template. Each dashboard should track project phases, deliverable status, revision rounds, and key dates.
• Receive client briefs, reference materials, and feedback and translate them into clear, actionable production notes for the offshore 3D rendering team. Notes must be specific, unambiguous, and include annotated references where necessary.
• Relay revision notes and feedback between clients and the offshore team, ensuring nothing is lost in translation. Track all revision rounds on the Notion dashboard and confirm each round is actioned before moving to the next.
• Manage project timelines and status updates, proactively chasing deliverables, flagging delays, and keeping the Managing Director informed of progress across all active render jobs.
• Maintain organised file structures in Dropbox for each render project — including source files, reference imagery, client-approved finals, and version history.
• Coordinate with the Managing Director on scope changes, additional revision requests, or any production issues that fall outside the original brief.
4. Client Communication & Account Management
• Serve as a reliable day-to-day point of contact for assigned client accounts, responding to queries promptly and professionally.
• Keep clients informed on content schedules, campaign progress, and render delivery timelines without being prompted — proactive communication is essential.
• Manage client expectations around turnaround times, revision allowances, and deliverable scope, escalating to the Managing Director when decisions are needed.
• Document all client interactions, briefs, and decisions on the relevant Notion dashboards to maintain a single source of truth across every workstream.

REQUIRED SKILLS & EXPERIENCE
• Proven experience managing social media accounts for brands or agencies, including content scheduling, caption writing, and community awareness.
• Demonstrated ability to set up, manage, and optimise Meta ad campaigns
• Strong written communication skills — you can write polished, engaging copy that adapts to different brand voices and audiences.
• Highly organised with an ability to manage multiple clients and projects simultaneously without dropping the ball.
• Comfortable working in Notion as a central project management and scheduling tool.
• Familiarity with Dropbox for file management and asset sourcing.
• Detail-oriented — you catch typos, check links, verify image specs, and double-check approvals before anything goes live.
• Self-directed and proactive — you don’t wait to be chased; you anticipate what’s needed and get ahead of it.
• A basic understanding of visual aesthetics and brand consistency — you know when an image, layout, or caption feels off-brand.
BONUS SKILLS (HIGHLY VALUED)
• Basic video editing skills — ability to trim, resize, add captions or text overlays to short-form video content (Reels, Stories) using tools like CapCut, Premiere Pro, or similar.
• Graphic design capability — resizing assets, creating simple social tiles, adapting brand templates in Canva or Adobe Illustrator/Photoshop.
• Experience with property, architecture, hospitality, or luxury brand marketing.
• Familiarity with 3D render production pipelines or CGI workflows.
• Basic understanding of SEO, Google Business Profile management, or
WHAT SUCCESS LOOKS LIKE IN THIS ROLE
• Content calendars are always populated at least two weeks ahead, with all posts drafted, captioned, and submitted for approval on time.
• Meta ad campaigns are live, optimised, and consistently meeting or exceeding client KPIs.
• 3D render dashboards are up to date, notes are relayed accurately, and the offshore team has everything they need to deliver without delays.
• Clients feel looked after — they know where things are at without having to ask.
• The Managing Director can trust that day-to-day operations are running smoothly and only needs to step in for strategic decisions.
