The Role
We’re looking for a Client & Content Coordinator to be the “glue” between our founder, our writer, and our audience.
Your job is to keep our CRM and client communication organized, be a second set of eyes on our flagship newsletter, and repurpose content into consistent social posts. When you do this well, our founder can spend most of his time on sales.
This is a mix of light client communication, structured admin, and content support. You don’t need to be a marketing guru, but you must be organized, write clean English, and love checklists.
What You’ll Do Day‑to‑Day
CRM & Sales Support (Notion + Gmail)
• Keep our Notion CRM up to date after sales calls (stages, next steps, follow‑up dates, deal values).
• Draft follow‑up and recap
• After an initial review period, send routine follow‑ups and recaps yourself.
Client Communication (light but important)
Email
• Collect assets (logos, copy, links)
• Confirm ad dates and details
• Send performance recap reports
• Flag any sensitive or high‑stakes questions to the founder.
Newsletter Second Eyes (Beehiiv + Google Docs)
• Work closely with our writer to review each newsletter before it goes out.
• Check links, formatting, event counts, spacing, images, and obvious typos.
• Make sure issues follow our structure and checklists.
• Support basic assembly where needed; our writer still leads the build in Beehiiv.
Social Repurposing (Instagram &
• Turn newsletter content and existing reels into carousels and posts in Canva.
• Write short, engaging captions in our friendly local voice (we provide examples).
• Schedule posts consistently using Meta Business Suite (or similar).
• Keep a simple content calendar up to date.
Analytics & Reporting
• Pull basic metrics from Beehiiv and Instagram (opens, clicks, reach, etc.).
• Drop them into simple internal tracking sheets and client recap templates.
Must‑Have Skills
• Strong written English: clear, natural, and typo‑free
• Detail‑oriented: you catch broken links, formatting issues, and inconsistencies.
• Experience with:
• Canva
• Instagram /
• Basic spreadsheets (Google Sheets)
• Comfortable working daily in tools like Notion, Gmail, Google Docs, Meta Business Suite.
• Highly organized and reliable: you hit deadlines without needing to be chased.
• Able to work 10:00 AM–6:00 PM CST, Monday–Friday, plus ~2–3 hours most Sundays (with lighter Fridays those weeks).
Nice to Have (Not Required)
• Experience with
• Past experience in a coordinator / VA / client success role.
• Interest in local news, food, and community content.
What Success Looks Like After 90 Days
• Our CRM is always current; no leads or follow‑ups fall through the cracks.
• Clients routinely receive clear recap
• Newsletter issues ship clean with minimal last‑minute fixes.
• Social content goes out consistently without the founder touching it.
• The founder spends most of his day on sales and strategy, not admin.
