JOB OVERVIEW

Position Overview

Knightwing Media is seeking a highly organized and proactive Client Communications & Project Coordinator to serve as a right-hand support person to the Owner.

The Owner receives a high volume of client calls, texts, leads, project updates, questions, and daily requests. This role is responsible for capturing that information, organizing it, directing it to the appropriate person or department, and making sure it continues moving through Knightwing’s workflow.

This person will help create structure around the information coming directly through the Owner, reducing the number of details they must personally remember and track. They will also play an important role in coordinating communication and logistics for Knightwing’s larger commercial, branding, and creative projects.

Key Responsibilities
Organize client calls, texts, messages, requests, and project information received by the Owner
Document important conversations, decisions, deadlines, and next steps
Sort and distribute incoming leads to the appropriate Knightwing tea ---------- mber or workflow
Ensure leads and client requests are properly tracked and followed up on
Coordinate communication for large commercial, branding, video, and creative projects
Gather and organize project details, including contacts, timelines, locations, deliverables, approvals, and changes
Communicate information between the Owner, clients, photographers, videographers, editors, assistants, vendors, and other tea ---------- mbers
Follow up with tea ---------- mbers to ensure tasks and projects continue moving forward
Identify missing information, stalled projects, communication gaps, or approaching deadlines
Flag urgent issues and decisions that require the Owner’s attention
Provide the Owner with clear, organized updates rather than scattered messages and information
Help move large projects from the initial inquiry through planning, production, editing, revisions, and final delivery
Maintain organized records of client communication and project progress
Support the continued development of Knightwing Media’s internal systems and workflows
Role Summary

The Client Communications & Project Coordinator serves as the central organization point for information coming through the Owner of Knightwing Media.

This person takes incoming leads, client conversations, project details, and daily requests, determines where each item needs to go, and makes sure it reaches the appropriate person. They are responsible for helping keep communication clear, projects organized, and opportunities moving forward without requiring the Owner to personally manage every detail.

The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-moving creative environment. They should be confident communicating with clients and tea ---------- mbers, capable of managing multiple priorities, and able to recognize when something needs immediate attention.

They should also be comfortable taking initiative, following up without being reminded, and turning scattered information into clear and actionable next steps.
