Job Title: Client Care & Executive Assistant (Full-Time, Long-Term)

What You’ll Do
Client Service & Office Support
Reply to customer inquiries with kindness, accuracy, and professionalism
Prepare and send estimates, quotes, and invoices
Keep clients updated throughout their order process, from quote to delivery
Coordinate schedules for deliveries, follow-ups, and installation
Maintain accurate notes and status updates in HubSpot and internal tracking systems
Support customers in a way that makes them feel heard, taken care of, and confident choosing us

All communication will follow our established tone, steps, and customer care process
Consistency, clarity, and follow-through in every message is essential
Executive Assistant Support
Help manage and organize the owner’s tasks, reminders, and follow-up lists
Assist in preparing customer communication drafts, follow-up sequences, and task coordination
Take initiative to reduce workload on the owner while staying within documented processes
Maintain communication and provide daily updates to keep workflows moving smoothly

Skills & Requirements
Excellent English speaking and writing skills (minimal accent preferred)
Experience in customer service or client support
Strong attention to detail and reliable follow-through
Proficient with Microsoft 365 (Word, Excel, Outlook)
Experience with HubSpot or similar CRM systems preferred
Comfortable managing
Must be comfortable using Zoom and Google Meet for calls
Ability to work during U.S. business hours (full or partial overlap)
Nice to Have
iPhone for texting or FaceTime
Experience sending quotes or preparing customer documents
Familiarity with office furniture, interior design, construction, or vendor coordination (not required)
