JOB OVERVIEW

We are looking for an experienced ClickUp Systems Architect to help us consolidate and systemise operations for a growing web design and digital marketing agency.

At present, our infrastructure is spread across tools such as Slack, Google Drive, Google Sheets, and documented SOPs. Part of this engagement will involve reducing tool sprawl by moving communication, workflows, and task management into ClickUp wherever appropriate.

Certain platforms — such as Go High Level (GHL) — will remain core systems and must be integrated cleanly into the overall workflow.

This role is about designing ClickUp as the central operating system, not simply maintaining an existing setup.

What You’ll Be Working With

Existing SOPs and partial documentation

Slack-based communication and handovers (to be reduced or replaced)

Google Drive and Google Sheets used for tracking and reporting

Go High Level (GHL) as a core CRM and automation platform

A team delivering web design, SEO, ads, and content services

You will work closely with the agency owner and key tea ---------- mbers to:

Map how work currently happens

Identify what should move into ClickUp

D ---------- what should remain external (e.g. GHL)

Build a cleaner, more scalable operating system

Key Responsibilities
Process Mapping & Tool Consolidation

Work with leadership and tea ---------- mbers to map existing workflows

Identify inefficiencies, duplication, and tool overlap

Design a ClickUp-first operating model where appropriate

Reduce reliance on Slack by shifting workflows, updates, and approvals into ClickUp

ClickUp Architecture & Build

Design the overall ClickUp workspace structure (Spaces, Folders, Lists)

Build workflows for different service lines (web, SEO, ads, content)

Create status flows that reflect real delivery stages

Build task templates, dependencies, and custom fields

Automation & Integration

Build advanced ClickUp automations

Integrate ClickUp with Go High Level (GHL) where required

Use n8n to connect systems where native automations are insufficient

Reduce manual handoffs between tools

Documentation & Enablement

Document systems, workflows, and logic

Create Loom walkthroughs or written SOPs

Support internal handover and adoption

Required Experience (Non-Negotiable)

You must have:

Deep experience designing and building ClickUp for agencies or service-based businesses

Strong understanding of ClickUp architecture and advanced automations

Experience consolidating workflows across multiple tools

Ability to work from incomplete or evolving process documentation

Confidence explaining why certain tools should be replaced, retained, or integrated

Highly Desirable (Bonus Skills)

Experience with n8n or similar automation tools

Experience integrating ClickUp with CRM platforms such as Go High Level

Background working with digital marketing or web agencies

Strong systems-thinking and documentation skills

Engagement Type
