Ward Ruddock is a personal injury and insurance litigation firm based in Miami, Florida. We are seeking a highly organized and proactive Case Manager to handle personal injury cases during the pre-suit phase. This role requires someone who can take ownership of cases, manage deadlines, communicate effectively, and ensure that each file progresses efficiently from intake through demand and potential settlement.
This is not an entry-level or basic administrative role. You will be responsible for actively managing cases, coordinating treatment, tracking documentation, and preparing files for demand.
The primary responsibilities of this role include managing case intake and setup by gathering all necessary client documentation, opening insurance claims, obtaining claim numbers, sending letters of representation, and requesting police reports and initial medical records. You will be responsible for maintaining consistent communication with clients, including biweekly check-ins, ensuring that clients are treating appropriately, and coordinating medical appointments as needed. You will track treatment progress and ensure that all relevant medical documentation is obtained.
You will also be responsible for requesting, organizing, and maintaining all medical records and billing, tracking liens and insurance information, and ensuring that case files are complete and organized at all times. A critical part of this role includes assisting in the preparation of demand packages, which must be completed promptly once treatment concludes. This includes compiling all supporting documentation, preparing summaries, and coordinating with the attorney prior to submission.
You will submit demands, confirm receipt with adjusters, track offers and communications, and assist in coordinating settlement documentation when cases resolve. If a case does not resolve in the pre-suit phase, you will assist in preparing the file for transition to litigation.
Performance expectations include completing intake within five days of assignment, requesting medical records within 48 hours, maintaining consistent communication with clients, and preparing demand packages promptly after treatment concludes. You must be able to manage multiple cases at once and keep them progressing without constant supervision.
Candidates must have prior experience as a personal injury case manager. Familiarity with insurance claims, medical records, and pre-suit case handling is required. Excellent written and spoken English is required, along with strong organizational skills, attention to detail, and the ability to work independently. Experience with case management software such as Clio is preferred, along with proficiency in Google Workspace or Microsoft Office.
This is a remote position. Full-time availability is preferred, and candidates must have some overlap with U.S. Eastern Time working hours. Compensation will be based on experience and skill level, with opportunities for long-term growth within the firm.
