Canadian bookkeeping firm seeking a reliable, detail-oriented payroll specialist to handle end-to-end payroll processing for multiple clients. You will be preparing payroll for review — not just running it blindly. This role requires someone who catches errors before they happen, communicates proactively, and takes ownership of the process.
REQUIREMENTS (MUST HAVE):
- Experience processing Canadian payroll for multiple clients
- Proficiency in QuickBooks Online (QBO) payroll — you must be comfortable posting payroll journal entries and reconciling in QBO
- Understanding of Canadian payroll rules: CPP, EI, income tax deductions, T4s, ROEs
- Ability to extract and compile time data from various sources (timesheets, time tracking apps, spreadsheets) and prepare it accurately for payroll processing
- Prepare payroll for review — you calculate, verify, and present for approval before final processing
- Post payroll entries in QBO — journal entries, liability accounts, reconciliation
- Strong written and verbal communication — you will be communicating with our team and sometimes directly with clients
- High attention to detail — payroll errors are expensive and erode client trust
- Reliable and deadline-driven — payroll runs cannot be late, ever
NICE TO HAVE:
- Experience with Gusto (US payroll platform — some of our clients use it)
- PCP designation or equivalent knowledge
- Experience with CRA remittances and year-end T4/T4A filing
- Experience processing ROEs
- Knowledge of Workers Compensation (WorkSafeBC, WCB Alberta)
- Experience with field service companies (construction, trades) where overtime, travel time, and variable hours are common
- Experience with Workiz or similar job management software for pulling time data
WHAT THE DAY-TO-DAY LOOKS LIKE:
- Collect and verify time data from clients (timesheets, apps, exports)
- Calculate regular hours, overtime, stat holiday pay, and any special deductions
- Prepare complete payroll summary for manager review before processing
- Once approved, process payroll and post entries to QBO
- Reconcile payroll liabilities (CPP, EI, tax) in QBO
- Prepare and submit ROEs when employees are terminated or go on leave
- Flag discrepancies — if the numbers do not look right, speak up before processing
- Communicate clearly with the team via Slack/email — ask questions early, do not guess
