Position Summary
The Campaign Operations and Logistics Coordinator is responsible for monitoring the daily delivery and inventory activities associated with customer campaigns. The role ensures that campaign orders are dispatched, transported, received, and fulfilled according to schedule while maintaining accurate visibility of stock availability by product and SKU.
The coordinator works closely with suppliers, warehouses, third-party logistics providers, transport partners, customer contacts, and internal campaign teams to identify risks, resolve missing information, and escalate delivery or inventory issues before they affect campaign execution.
Key Responsibilities
Delivery Tracking and Coordination*
Review all planned campaign deliveries daily.
Confirm the status of each delivery, including booked, dispatched, in transit, delivered, delayed, or awaiting confirmation.
Verify supplier dispatch dates and shipping documentation.
Confirm that transport has been booked and assigned.
Check customer warehouse booking dates and delivery slots.
Monitor estimated arrival times and identify deliveries at risk of missing scheduled slots.
Confirm warehouse or third-party logistics receipt of delivered and inbound goods.
Obtain proof of delivery or warehouse receipt confirmation when required.
Record the current status, risks, responsible contact, and next action for every delivery.
Follow up with suppliers, transport providers, warehouses, and customers regarding missing or conflicting information.
Inventory Monitoring*
Review daily stock levels for all campaign products and SKUs.
Monitor available, reserved, inbound, blocked, damaged, quarantined, and unavailable inventory.
Compare available and incoming inventory against open orders and planned deliveries.
Confirm that reserved inventory is allocated to the correct customer orders.
Track inbound stock quantities and expected arrival dates.
Verify that warehouse or third-party logistics inventory records are current.
Investigate discrepancies between system inventory and warehouse-confirmed stock.
Determine whether upcoming deliveries can be fulfilled using available or confirmed inbound inventory.
Identify and escalate potential shortages before they affect fulfilment.
Risk Management and Escalation*
Classify delivery and inventory activities as on track, at risk, blocked, or missing information.
Escalate issues on the same day when delivery, booking, dispatch, transport, warehouse receipt, or stock availability is unclear.
Raise delivery risks when transport is not booked, dispatch dates are unconfirmed, warehouse slots are missing, or delivery timing is at risk.
Raise inventory risks when available stock is insufficient, inbound stock is delayed, reserved quantities do not match demand, or stock is blocked or damaged.
Coordinate corrective actions with the appropriate supplier, warehouse, transport provider, customer, or internal owner.
Maintain clear ownership and target completion dates for unresolved actions.
Reporting and Task Management*
Maintain accurate campaign delivery and inventory trackers.
Update campaign tasks and follow-up actions in Asana or another designated project management system.
Prepare a daily end-of-day logistics update covering:
Deliveries reviewed
Inventory and SKUs checked
On-track deliveries
Delayed or at-risk deliveries
Stock shortages or discrepancies
Missing confirmations or information
Escalations completed
Outstanding actions and priorities for the following day
Provide campaign stakeholders with timely and accurate operational updates.
Maintain organized records of communications, confirmations, risks, and resolutions.
Required Qualifications
Previous experience in logistics coordination, supply chain operations, inventory management, order fulfilment, campaign operations, or a related field.
Experience working with suppliers, warehouses, transport providers, or third-party logistics partners.
Strong understanding of delivery tracking, warehouse bookings, inventory allocation, and order fulfilment processes.
Ability to review operational information and identify risks, inconsistencies, and missing confirmations.
Strong organizational and follow-up skills.
Excellent written and verbal communication skills.
Ability to manage multiple orders, products, deadlines, and stakeholders simultaneously.
High level of accuracy and attention to detail.
Proficiency in spreadsheets, project management platforms, and inventory or order management systems.
Ability to work independently and escalate urgent issues appropriately.
Preferred Qualifications
Experience supporting customer campaigns, retail promotions, product launches, or time-sensitive fulfilment activities.
Familiarity with Asana or a similar task management platform.
Experience working with warehouse management, transport management, enterprise resource planning, or inventory management systems.
Knowledge of proof-of-delivery processes, customer warehouse booking requirements, and third-party logistics operations.
