THE ROLE WE ARE HIRING FOR
Asset Management Assistant
As our Asset Management Assistant, you'll provide reliable, proactive administrative and operational support to the Asset Manager.
You'll help keep the moving parts of property management organised and progressing — from maintenance and repairs through to compliance, inspections, tenancy support, deposit processing and property records. This role is about more than simply completing admin tasks. We need someone who takes ownership of the details, follows things through, communicates clearly and notices when something needs attention.
Key Responsibilities:
-Support the Asset Manager with day-to-day property management administration and maintenance coordination.
-Coordinate maintenance requests, including emergencies, and communicate with tenants, landlords and contractors.
-Schedule repairs and follow up with contractors and relevant parties to ensure outstanding work progresses.
-Ensure completed repair works have been satisfactorily addressed and property records are updated.
-Support tenant and landlord queries throughout the tenancy lifecycle.
-Arrange pre-tenancy works and provide new tenants with relevant property information.
-Process and coordinate tenant deposits for release, including organising deduction lists and supporting evidence.
-Ensure eligible tenant deposits are processed and released within the required legal timeframe.
-Maintain accurate property compliance records in our CRM, including gas safety certificates, EPCs, electrical inspection certificates and other required documentation.
-Identify missing, incomplete, approaching or expired compliance documentation and escalate appropriately.
-Run property inspection due reports and coordinate inspection appointments with tenants.
-Prepare inspection templates, highlight areas requiring attention and finalise reports following Asset Manager feedback.
-Send completed inspection reports to landlords and maintain accurate inspection schedules.
-Keep taskboards, project boards and relevant operational systems up to date.
-Log support tickets, manage handovers and complete other accountability requirements.
-Help update Standard Operating Procedures and suggest improvements to processes and systems.
-Assist the Asset Manager during Property Management meetings, including taking notes.
-Answer incoming office calls, reserve keys for contractors, pass messages to the Lettings team and manage the Repairs mailbox.
-Complete required training and participate actively in weekly Script Practice, 1:1s and Monthly Development Reviews.
-Keep developing your knowledge of systems, automation and AI tools that can improve efficiency, accuracy and service delivery.

Preferred Qualifications:
-Previous property management or property administration experience.
-Experience working with UK residential property.
-Experience coordinating contractors, maintenance or property inspections.
-Experience with tenancy administration or deposit processing.
-Familiarity with property-management software and digital task-management systems.

This role helps turn London Executive's promise of clarity, care, confidence and professional property management into the day-to-day experience of landlords and tenants.
You're the person helping ensure that the details don't fall through the cracks. Maintenance gets followed through. Compliance records stay current. Inspections happen on time. Deposits are processed accurately. Queries are progressed. Information remains organised. You'll own the coordination and follow-through, while the Asset Manager retains responsibility for higher-level judgement and decisions.
Done well, your work gives the Asset Manager the support needed to focus on asset management while helping London Executive deliver the reliable, responsive and professional service our clients and tenants expect.

PAY, HOURS & BENEFITS
Pay: $750–$800 USD per calendar month
Start: ASAP
Employment: Long-term
Hours: Monday–Friday, 9:00 AM–6:00 PM UK Time
Availability: At least 40 hours per week
Location: Fully remote
Payment: Biweekly during the first month, then monthly thereafter
Paid Time Off: Paid vacation and sick leave
