JOB OVERVIEW

The Stellaris Collection is hiring a CRM operator to build and maintain the central nervous system of our business. This role owns the accuracy, structure, and intelligence of our client database inside HubSpot CRM. Every client interaction must become clean, usable data that drives revenue.

We sell high-end luxury watches (Rolex, Patek Philippe, Audemars Piguet) and are expanding into a dedicated jewelry vertical. Transactions regularly range from $10,000 to $100,000+. Precision, discretion, and high-level logic are required.

Your Core Responsibility

Ensure zero clients are lost, miscategorized, or untracked. You will manage the full lifecycle of client data:
Capture ? Clean ? Enrich ? Organize ? Activate

What You Will Do

1) Data Capture Oversight (Daily)
• Monitor incoming contacts from Podium (SMS/Webchat), Outlook, and Shopify
• Ensure all contacts are properly synced into HubSpot; create, identify and fix broken automations in Zapier or Make
• Own CRM data flow integrity across all systems (Podium, email, Shopify)

2) CRM Data Management & Hygiene
• Merge duplicate contacts and standardize naming conventions (Proper Case, no shorthand)
• Maintain a complete, single source of truth for each client (no duplicate or fragmented records)

3) Client Tagging & Intelligence
• Categorize every lead by Brand Interest, Client Tier (Spend), Buyer Type (Collector/Dealer), and Budget Range
• Extract and log key client signals (important dates, specific watch requests, preferences, urgency)

4) Deal Tracking & Reporting
• Move deals through pipelines accurately (Sales vs. Sourcing)
• Create a deal whenever a client shows clear buying intent or discusses pricing
• Generate weekly/monthly lists: Top LTV clients, Inactive high-value leads, and jewelry upsell opportunities

Compensation & Long-Term Structure

This role is structured in two distinct phases to reward the heavy lifting required at the start:

Phase 1: The Build (First 2–3 Weeks)
• Workload: Full-time (40 hours/week) for historical audit and setup
• Rate: $8–$10/hour depending on experience (top candidates will be hired at the high end)
• Focus: Importing historical data, cleaning duplicates, and mapping custom properties

Phase 2: The Pulse (Long-Term Maintenance)
• Workload: Part-time (approx. 10 hours/week)
• Pay: $400–$500 monthly retainer (based on performance and speed)
• Focus: Daily data audits, tagging new leads, and preparing outreach lists
• Note: As our jewelry vertical scales, this role has the potential to grow back into a larger position
• This role is designed for long-term stability with consistent monthly income after the initial build phase

Requirements
• Expert-level HubSpot experience: You must understand custom properties, deal workflows, and pipeline logic
• Automation fluency: Experience with Zapier or Make is required
• Luxury mindset: You understand that data errors directly impact revenue and client experience at a high-ticket level
• Work hours: During Phase 1, a 4-hour overlap with PST is required (9am–1pm Los Angeles time)

Hiring Process (Strict Evaluation)

Step 1: Loom Video
Submit a 2–3 minute Loom video showing you navigating HubSpot. Show how you would:
• Create a contact
• Tag them for “Rolex interest”
• Move a deal stage

Step 2: Technical Test (Data Precision)
Top candidates will be sent 10 messy CSV rows to clean, standardize, and categorize.
100?curacy is the passing grade.

Step 3: Logic Test (Conflict Resolution)
Scenario: A Shopify order comes in for a Rolex, but the client is already tagged as a “Patek Collector.”
Explain how you would:
• Preserve historical data
• Expand tagging correctly
• Update the client profile

Step 4: Written Screening (Applied Thinking)
A new lead texts via Podium asking about a pre-owned Rolex Daytona. Budget is unknown.
Explain exactly:
• Which HubSpot properties you would populate
• How you would structure the record
• How you would prepare it for follow-up
