JOB OVERVIEW

About the Role
We are a Texas-based real estate investment firm. We are building the systems behind our investor
relationships and need a capable, hands-on operator to build and run them.

This is a build-and-operate role, not a data-entry role. The first ninety days are a defined build project with clear deliverables.
If that goes well, this becomes a long-term position with more hours, more responsibility and higher compensation.
Website and funnel design are handled by a separate designer. You own the CRM, the automation and the data.

First 90 Days — Deliverables
1. Migrate, clean and deduplicate our full contact database into GoHighLevel.
2. Build the investor pipeline: stages, tags, custom fields and segmentation (existing investors, prospects, referral sources,
capital partners).
3. Build the core automated sequences: new lead nurture, post-meeting follow-up, and ongoing investor updates.
4. Build a separate pipeline for family offices, RIAs and JV/institutional capital groups, with fields for check size,
geography, strategy, structure and contact history.
5. Build a reporting dashboard: new contacts by source, pipeline movement, engagement, and database growth.
6. Document how everything works, so it is maintainable by someone other than you.
Ongoing Responsibilities

GoHighLevel & CRM
• Build and maintain pipelines, workflows, triggers and automations.
• Keep contact records accurate: import, clean, deduplicate and enrich.
• Build forms and booking workflows that feed the correct pipelines.
• Troubleshoot workflows and integrations.
• Identify repetitive work and automate it.


Email
& Investor Communication
• Build and schedule campaigns, newsletters and investor updates.
• Segment audiences by interest, engagement and investor profile.
• Track opens, clicks, replies and meetings booked.
• Maintain list hygiene and deliverability.

Research & Database Building
• Research family offices, RIAs, capital partners and referral sources, and document their investment criteria.
• Enrich CRM records with accurate contact and organizational information.
• Build prospect lists for the principals and the Investor Growth Manager.

Content Support
• Draft and edit emails, newsletters and landing-page copy.
• Turn notes, transcripts and recordings from leadership into polished written content.
• Use AI tools to work faster, but edit everything. We can tell when you have not.
• Create basic graphics in Canva.

Reporting
Maintain a simple dashboard showing where relationships are actually coming from and what is converting. Activity is not
the goal; relationships are.

Additional Responsibilities
We are a lean company. You may occasionally help with research, transaction coordination, data-room organization or
presentation preparation. Your core focus remains CRM and marketing operations.

Tools
Required: GoHighLevel (strong hands-on experience), Google Workspace, spreadsheets.
Helpful: Zapier or Make, Canva, ChatGPT or Claude, email marketing platforms, LinkedIn.
Not required: Google Ads, video editing, web design. We have those covered.

You Are a Strong Fit If You
• Have built GoHighLevel workflows and pipelines yourself, not merely used them.
• Write clearly in English.
• Use AI daily and understand its limits.
• Are extremely organized and detail-oriented.
• Work independently and tell us promptly when something is broken.
• Learn new software quickly.
• Want a long-term role that grows in scope and pay.

Real estate experience is helpful but not required.

Schedule
20–25 hours per week to start, with a clear path to more. We are based in Texas on U.S. Central Time and need several hours
of daily overlap for meetings and collaboration. This is intended as a long-term position, not a short freelance project.
Compensation
$700–$1,100 USD per month for 20–25 hours per week, depending on experience and demonstrated skill.
Strong performers will move to additional hours and higher compensation after the initial build period. Exceptional
GoHighLevel and automation specialists may command more.
