CREATIVE PROJECT & OPERATIONS COORDINATOR (REMOTE)

ABOUT THE BILLIONS AGENCY

The Billions Agency is a growing creative marketing agency specializing in branding, digital marketing, websites, social media, video production, and strategic communications for businesses, nonprofits, and government organizations.

We're looking for a highly organized Creative Project & Operations Coordinator to help keep projects moving, support our creative team, and ensure every client deliverable is polished, accurate, and delivered on time.

This role is ideal for someone who enjoys bringing structure to creative environments, communicating with clients, and making sure every project runs smoothly from kickoff to delivery.

WHAT YOU'LL DO

Project Coordination

• Manage project timelines and priorities using ClickUp
• Coordinate project workflows between designers, video editors, and leadership
• Track deadlines and ensure projects stay on schedule
• Monitor project progress and proactively follow up on outstanding tasks
• Keep project documentation organized and up to date

Client Communication

• Communicate professionally with clients regarding project updates, timelines, and requests
• Schedule meetings and coordinate follow-ups
• Ensure client feedback and revisions are documented and communicated clearly to the creative team
• Help maintain an exceptional client experience from start to finish

Creative Operations

• Organize Google Drive folders and creative assets
• Prepare presentations, PDFs, and client deliverables
• Upload website content and make basic website updates
• Update landing pages and Eventbrite listings
• Schedule and publish social media content
• Export and organize final design and video files
• Support the creative team with production-related tasks

Quality Assurance (QA)

Before anything reaches a client, you'll be responsible for ensuring it meets our quality standards by:

• Reviewing spelling, grammar, and formatting
• Checking brand consistency and design accuracy
• Testing website links, buttons, and forms
• Confirming all requested revisions have been completed
• Ensuring files are correctly named, exported, and organized
• Performing a final quality check before client delivery

We're looking for someone who is:

• Able to manage multiple projects simultaneously

• Comfortable working independently in a remote environment

• Passionate about creating outstanding client experiences

PREFERRED EXPERIENCE

Experience with any of the following is a plus:

• ClickUp
• Google Workspace
• WordPress or other website platforms
• Social media scheduling tools
• Canva
• Microsoft PowerPoint or Google Slides
• Adobe Creative Suite (Photoshop, Illustrator, Premiere Pro, or After Effects)
• Marketing or creative agency experience

Graphic design or video editing experience is NOT required but is considered a strong advantage, as you'll work closely with our creative team and may occasionally assist with light production tasks.

COMPENSATION

• Remote Position
• Starting Salary: $500 USD/month
• Performance-based increases following your initial 90-day review
