We’re looking for a highly organized, proactive, and systems-minded Business Operations & Execution Manager to help turn our big-picture vision into a streamlined, well-run internal machine.

Role Summary
You’ll work directly with the founder to build, manage, and evolve the internal systems that power our operations across multiple brands and teams. You’ll take high-level ideas and turn them into defined roles, KPIs, SOPs, workflows, and performance tracking tools — and ensure everything stays updated, aligned, and running smoothly.

Key Responsibilities
• Translate business goals into clearly defined roles, responsibilities, and KPIs
• Build and maintain SOPs, workflows, trackers, and internal dashboards (in Notion, Google Sheets, etc.)
• Monitor KPIs and send regular updates to the founder
• Manage onboarding and offboarding processes for all hires and VAs
• Maintain an up-to-date knowledge base of systems and responsibilities
• Track follow-ups and progress from tea
• Assist with process optimization and help eliminate inefficiencies
• Coordinate with other VAs and tea

Tools You Should Be Familiar With
• Notion (for SOPs, project management, internal dashboards)
• Google Workspace (Docs, Sheets, Slides, etc.)
• Project Management tools (ClickUp, Trello, or similar)
• Bonus: Zapier, Make, Airtable, or other automation tools

Requirements
• Excellent English communication
• At least 3 years of experience in an operational, PM, or coordination role
• Experience working with founders or executive teams is a big plus
• Bachelor's degree preferred (but strong experience may substitute)
• Strong attention to detail, accuracy, and the ability to write clear, grammatically correct

Working Hours & Setup
• Part-time to full-time depending on fit
• Must be able to attend a weekly strategy/ops call with the founder (ET timezone)
