Position Overview
We are seeking a Business Intelligence & Systems Specialist to support organizational reporting, system coordination, and staff technology enablement. This is a hands on, execution focused role suited to a virtual specialist who can independently manage reporting, dashboards, and system support tasks from start to finish.
The Specialist will be responsible for turning data into clear, usable insights, maintaining reliable reporting, and supporting staff with day?to?day system and IT needs across core platforms. This role does not own strategy, budgets, or infrastructure. Success is measured by accurate reporting, dependable systems support, and timely delivery.
Key Responsibilities
- Maintain and update KPI, performance, and operational dashboards
- Prepare routine management and Board ready reports
- Ensure consistency in data definitions, metrics, and reporting outputs
- Respond to adhoc reporting and data requests from leadership
- Support reporting and data coordination across core systems (AlayaCare, VIA, Microsoft 365)
- Document data sources, reports, and system workflows
- Identify data quality or system integration issues and support resolution
- Manage and triage staff IT and system support tickets
- Track trends, repeat issues, and resolution timelines
- Produce simple summaries to support continuous improvement
- Support staff understanding of dashboards and reports through guides and walkthroughs
Required Skills and Experience
- Experience as a Virtual Assistant, Business Intelligence Analyst (junior/intermediate), or Systems Support Specialist
- Strong comfort working with dashboards, spreadsheets, and reporting tools
- Proficiency with Microsoft 365 (SharePoint, Teams, Excel; Power BI an asset)
- Strong documentation, organization, and follow?through skills
- Ability to work independently in a fully virtual environment
- Ability to manage multiple requests and competing priorities
- Experience in healthcare, nonprofit, or service?based organizations is an asset
