JOB OVERVIEW

About Us

We work closely with restoration contractors, insurance professionals, public adjusters, third-party administrators, property managers, and other referral partners.

As we grow, we are looking for a highly organized and resourceful Virtual Assistant to support our business development team through company research, contact research, CRM management, and preparation of Strategic Account Briefs.

This is not simply a data-entry position.

We are looking for someone who is comfortable researching companies, identifying decision-makers, verifying information, using AI tools such as ChatGPT, and maintaining accurate information within HubSpot.

Key Responsibilities
1. Company Research

Research target companies including:

Restoration contractors
Insurance agencies
Public adjusters
Third-party administrators
Property management companies
Insurance adjusters
Related referral partners

Research may include:

Company background
Locations
Geographic service area
Services provided
Ownership
Key personnel
Business development contacts
Operations personnel
Relevant company news
Potential referral opportunities

You will be provided with research templates and clear instructions.

2. Strategic Account Briefs

Prepare detailed Strategic Account Briefs for target companies using our established templates.

You will:

Conduct online research
Identify relevant company information
Find key decision-makers
Verify information across multiple sources
Use ChatGPT to help organize and draft the account brief
Review the final output for accuracy before submission

Strong attention to detail is extremely important.

AI should be used to improve productivity, but information must still be researched and verified.

3. Contact Research

Identify relevant contacts including:

Owners
Presidents
General Managers
Operations Managers
Business Development Managers
Marketing Managers
Project Managers
Estimators
Contents Managers
Insurance professionals
Public adjusters

Research contact information where available, including:

Full name
Job title
Company

Email
Phone number
LinkedIn profile
Location

4. HubSpot CRM Management

Maintain accurate company and contact records within HubSpot.

Responsibilities will include:

Creating company records
Creating contact records
Associating contacts with the correct company
Updating company information
Updating contact information
Assigning company types
Assigning geographic territories
Categorizing and segmenting prospects
Identifying duplicate records
Cleaning CRM data
Filling missing information
Maintaining consistent formatting
Uploading/importing data where appropriate

5. Prospect List Development

Help continually build our business development database by researching new companies within designated territories.

This may include identifying:

New restoration companies
Insurance agencies
Public adjusters
Property managers
Industry partners
New contacts within existing target accounts
Required Skills

You should have:

Excellent written English
Strong internet research skills
Excellent attention to detail
Strong organizational skills
Experience with spreadsheets
Experience using Google Sheets and/or Microsoft Excel
Comfortable working independently
Ability to follow detailed processes
Ability to verify information rather than simply copy search results
Preferred Experience

Strong preference will be given to candidates with experience in:

HubSpot CRM
CRM data entry or CRM administration
LinkedIn research
Lead generation
Contact research
Business-to-business research
Data enrichment
ChatGPT or other AI tools
Google Workspace
Microsoft Excel

Experience within restoration, construction, insurance, property services, or another B2B industry would be helpful but is not required.

Prepare information using our Strategic Account Brief format.
Prepare the information for entry into HubSpot.
