Defy IT is a security-first managed IT services provider based in Brisbane, Australia.

We support serious businesses that rely on secure, stable and well-managed technology, including professional services firms, medical practices, legal firms, accounting firms, hospitality businesses and growing SMEs.

We are a small, high-performing technical team with strong growth ambitions. We are looking for a capable Virtual Assistant / Business Development Manager to help us build and manage our sales system from the ground up.

About the Role

This role is not just appointment setting.

Before meaningful outreach can happen, we need a properly organised CRM, clean prospect lists, defined lead stages, reliable follow-up processes and clear reporting.

You will be responsible for helping build the Defy IT sales database and CRM structure, then using that system to research prospects, manage outreach, track opportunities and book qualified appointments for the Defy IT leadership team.

This role suits someone who is organised, commercially minded and comfortable creating structure where there is currently very little. You will need to be able to take direction, but also think for yourself, identify gaps and improve the process as we grow.

Key Responsibilities

Your responsibilities will include:

* Helping set up and organise the Defy IT CRM
* Creating lead stages, pipeline views, tags, categories and follow-up workflows
* Building targeted prospect lists across selected industries and regions
* Researching businesses that match Defy IT’s ideal client profile
* Finding and recording key decision-makers, including business owners, directors, practice managers and office managers
* Enriching CRM records with useful information such as industry, location, size, website, phone number, LinkedIn profile and current IT indicators where available
* Cleaning and maintaining CRM data
* Creating repeatable outreach and follow-up processes
* Managing daily, weekly and monthly sales activity lists
* Sending professional outreach emails and LinkedIn messages
* Assisting with outbound calls and appointment setting
* Following up with prospects in a polite, professional and persistent manner
* Booking qualified discovery calls for the Defy IT team
* Tracking conversations, objections, next steps and opportunities
* Assisting with proposal follow-up and nurture campaigns
* Preparing basic prospect research before meetings
* Reporting on sales activity, pipeline health, appointments booked and follow-up outcomes

You understand that business development depends on clean data, good follow-up and clear process. You are comfortable doing research, organising information, maintaining a CRM and reaching out to potential clients in a professional way.

You will be a good fit if you are:

* Professional in written and spoken English

Required Skills and Experience

The ideal candidate will have experience with:

* CRM setup, administration or pipeline management
* Lead generation and prospect research
* B2B business development support
* Appointment setting or sales administration
* Data entry, list building and CRM hygiene
* Cold email or LinkedIn outreach
* Follow-up campaigns
* Professional written communication
* Basic reporting and sales activity tracking
* Working remotely and managing tasks independently

Highly Regarded

Experience with any of the following will be highly regarded:

* MSP, IT services or cyber security sales support
* Australian B2B markets
* Medical, legal, accounting, hospitality or professional services sectors
* LinkedIn Sales Navigator
* HubSpot, Pipedrive, Zoho, Salesforce or similar CRM platforms
* Email campaign tools
* Apollo, Clay, ZoomInfo, Lusha or similar prospecting tools
* Canva or basic marketing support
* Proposal follow-up and sales coordination
* Building sales processes from scratch

* Target industries and prospect lists are properly organised
* Leads are categorised, tagged and easy to manage
* Follow-ups are not missed
* Outreach activity is consistent and measurable

* Qualified appointments are booked with suitable businesses
* Pipeline reports are accurate and easy to understand
* Defy IT has a repeatable sales process that can improve over time
