JOB OVERVIEW

Contract Type: Freelance / Independent Contractor
Experience: LTR, Minimum 1 year in UK property management, building management or property operations
We are looking for an independent, experienced and proactive Remote Building Manager / Property Operations Coordinator to provide remote property management services for our UK residential buildings.

Availability:
As our residents, contractors and properties are UK-based, you must be able to provide reliable coverage during normal UK business hours, Monday to Friday. You will be responsible for organising your own work and managing your time, while ensuring enquiries, maintenance issues and operational matters are dealt with within the required service levels.

Key Responsibilities
• Respond to resident queries, complaints and requests professionally and independently
• Coordinate maintenance staff, contractors and suppliers
• Arrange and follow up repairs, inspections, servicing and compliance requirements
• Monitor EPCs, EICRs, Gas Safety Certificates and other recurring property requirements
• Coordinate move-ins, move-outs, access, keys and property administration
• Delegate or direct tasks to the appropriate person or department
• Follow up outstanding matters through to completion
• Keep residents updated where appropriate
• Create notices, emails and building-wide communications when needed
• Maintain accurate records of important actions, communications and documents
• Use property management, communication and task-management systems effectively
• Identify recurring problems and suggest better ways of managing them
• Assist with additional property-related operations that fall within the agreed scope of services

What We Are Looking For
• Minimum 1 year UK property management experience
• Strong written and spoken English
• Confident using own judgement and working independently
• Proactive, with strong ownership and accountability
• Tech-confident and comfortable learning different systems
• Organised, with excellent record keeping and follow-up
• Professional and helpful, with the confidence to delegate, direct or escalate when appropriate

Important
You will be trusted to manage day-to-day building operations independently and use your own judgement to d ---------- how matters should be handled.
All important actions, communications and decisions must be properly recorded and followed through to completion.
Understand the issue → d ---------- what needs to happen → take action or delegate → record it → follow up → close it properly.

This role is not about simply replying “Thank you for letting us know, we will investigate.”
You will be expected to d ---------- what action is required, take or delegate that action, record it properly, follow up, and make sure the matter is actually resolved.

Option B. Persistent Dog Barking

Hello, the dog in Flat 24 barks every day for around 10 hours. I work from home and can hear it barking all day.
Please speak with the tenant and make it stop. They should put the dog in doggy day care or have someone stay with it, otherwise I will call the RSPCA.
This is extremely frustrating and is affecting me every day.
You have the contact details for the resident of Flat 24.

Option C. Overflowing Communal Bin Area

Hello,
I moved into the property on Friday evening and was extremely concerned to find the communal bin area severely overflowing. Rubbish is accumulating around the bins, there is a very strong smell, and there is effectively no appropriate space left for residents to dispose of household waste.
The bin area was not in this condition when I viewed the property.
I am concerned about hygiene, sanitation and potential pest issues, and there is currently nowhere appropriate for residents to dispose of further waste.
Please confirm urgently:
1. When the accumulated waste will be cleared;
2. Why the bin area has been allowed to reach this condition;
3. Whether the number and capacity of bins are adequate; and
4. What will be done to prevent this happening again.
Please escalate this to building management and confirm what action is being taken.

Please note: You have access to the building’s maintenance team, waste contractors and property records. You also know that the Council will not provide any additional bins, as the property already has the maximum bin capacity allocated for the number of flats in the building. In practice, residents are generating more waste than the standard provision can accommodate.
