JOB OVERVIEW

About the Role

We’re looking for a highly organized, detail-oriented Bookkeeping Client Support Coordinator to help our bookkeeping team collect, organize, and process information needed to complete client bookkeeping projects accurately and on time.

A major part of bookkeeping is making sure we have the right information from the client. Bank statements may be missing. Transactions may need clarification. Accounts may need access. Receipts or supporting documents may still be outstanding.

Your job is to help make sure those missing pieces don’t cause projects to sit still.

You will work closely with our bookkeeping team to identify outstanding information, communicate with clients by email, text, and phone, track responses, organize documents as they are received, and continue following up until the bookkeeping team has what it needs to move forward.

This is not simply a data-entry position.

We’re looking for someone who is comfortable communicating with clients, understands basic bookkeeping concepts, follows established processes carefully, and takes ownership of making sure assigned items reach completion.

What You’ll Do

Client Follow-Up & Missing Information

A primary responsibility of this position is helping obtain information needed to complete client bookkeeping.

Responsibilities may include:

* Review bookkeeping projects for missing documents or outstanding client questions
* Contact clients by email, text, and phone to request missing information
* Clearly explain what information or documentation is needed
* Follow up consistently when clients do not respond
* Track outstanding requests and client responses
* Document communication and follow-up activity in company systems
* Identify when information received is incomplete or does not match what was requested
* Ask appropriate follow-up questions when clarification is needed
* Escalate difficult, unusual, or time-sensitive situations to the bookkeeping team
* Help prevent bookkeeping projects from becoming stalled because of missing client information

You should be comfortable being politely persistent. A single unanswered email should not mean the request is forgotten.

Bookkeeping Document Processing

As information comes in from clients, you will help make sure it is processed accurately and efficiently.

Responsibilities may include:

* Monitor designated systems for newly received client documents
* Download, organize, rename, and store documents according to company procedures
* Identify bank statements, credit card statements, loan statements, payroll reports, receipts, and other bookkeeping records
* Confirm requested documents have been received
* Identify missing statement periods or incomplete documentation
* Upload and organize documents within the appropriate client records and projects
* Update project statuses as information is received
* Notify bookkeeping team members when requested information is available
* Maintain accurate client files and documentation
* Follow established workflows for handling client information
* Perform basic quality-control checks before marking tasks complete

Accuracy is extremely important. Documents must be associated with the correct client, account, period, and project.

Bookkeeping & Transaction Support

This role does not require you to be an experienced accountant, but you should understand basic bookkeeping concepts and be comfortable learning more.

Depending on experience and training, responsibilities may include:

* Assist with identifying or researching uncategorized transactions
* Send clients transaction clarification questions
* Organize client responses for the bookkeeping team
* Identify transactions that require additional documentation
* Assist with basic transaction coding or data entry
* Review account activity for obvious missing information
* Help reconcile client responses with outstanding bookkeeping questions
* Identify potential duplicates, missing transactions, or unusual discrepancies
* Assist with other routine bookkeeping support tasks

You are not expected to independently resolve complex accounting issues. You are expected to recognize when something is missing, follow the appropriate process, and ask for help when something does not make sense.

Project & Workflow Management

An important part of this role is making sure projects continue moving forward.

You may be responsible for:

* Monitor assigned bookkeeping projects and outstanding items
* Maintain lists of missing information and client requests
* Review projects regularly to determine what is preventing completion
* Follow established follow-up schedules
* Update CRM and project-management systems accurately
* Identify overdue or stalled projects
* Communicate project status with bookkeeping team members
* Follow up internally when action is needed from another team member
* Escalate projects that require additional attention
* Help ensure monthly, quarterly, and catch-up bookkeeping projects stay on schedule

We don’t want projects sitting untouched because everyone assumed someone else was following up.

Team Collaboration

You will work closely with bookkeepers, tax professionals, operations staff, and other team members.

Strong communication and teamwork are essential.

You should be comfortable:

* Asking bookkeepers what information they need from a client
* Translating internal bookkeeping requests into clear client-friendly communication
* Providing concise updates on outstanding items
* Asking questions when instructions are unclear
* Receiving feedback and adjusting quickly
* Following established processes even when managing many different clients
* Helping teammates identify bottlenecks or recurring problems
* Suggesting process improvements when you see opportunities to make the workflow more efficient

You don’t need to know everything about accounting, but you should be naturally organized, persistent, and detail-oriented.

* Takes ownership of assigned responsibilities
* Is dependable and responsive during scheduled working hours

Qualifications

Required

* At least 1–2 years of experience in bookkeeping, accounting support, administrative support, customer service, or a related role
* Basic understanding of bookkeeping and accounting concepts
* Excellent written English
* Strong spoken English
* Strong organizational and time-management skills
* Excellent attention to detail
* Experience communicating professionally with customers or clients
* Comfortable communicating through email, text, and phone
* Ability to follow detailed processes and procedures
* Ability to work independently in a remote environment
* Reliable high-speed internet connection
* Comfortable learning new technology and systems

A college degree is not required.

Preferred Experience

Experience with any of the following is helpful but not required:

* QuickBooks Online
* Bookkeeping or accounting firms
* Bank and credit card reconciliations
* Transaction categorization
* Financial statements
* Zoho CRM or Zoho One
* Microsoft Office
* Google Workspace
* Client document-management systems
* Project-management or workflow software
* Supporting U.S.-based businesses or clients
* Tax or professional-services firms

We care more about accuracy, communication, follow-through, and willingness to learn than whether you already know every system we use.

Ultimately, we’re looking for someone who takes ownership of the space between “we need something from the client” and “the bookkeeping team has everything they need to continue.”
