Remote Finance & Bookkeeping Specialist
Long-term role · Multiple businesses + personal finance · Build the system you'll run
About this role
I'm an entrepreneur running multiple companies (holding + operating entities) and I want to fully outsource my financial administration — both business and personal. I'm not looking for someone to follow a script. I'm looking for a finance professional who can take ownership: design the system, run it, and keep me informed with clean monthly reporting.
I will give you the vision, the access, and the tools budget. You build the structure that fits how I work, then you run it month after month. If you're the type who likes building order out of chaos, this role is for you.
What you will own
• Bookkeeping across multiple entities — track every euro in and out, monthly, across all my companies and personal accounts.
• Invoicing — create, send, and follow up on outgoing invoices. Chase late payers professionally.
• Expense categorization — split business vs. personal cleanly. Tag every transaction by category.
• Credit cards (Amex and others) — reconcile statements, match receipts, flag anything unusual.
• Receipts and documents — collect, file, and match every receipt to its transaction.
• Monthly reports — a clean, beautiful overview at the end of every month: cashflow, P&L per entity, top expenses, debtors/creditors, personal spending categories, credit card balances. One consolidated view.
• The system itself — you design how files are organized, how I submit receipts, how data flows from bank ? bookkeeping ? report. I tell you what I need; you build the workflow.
What you need to bring
• Solid bookkeeping experience (3+ years), ideally with European or Dutch clients.
• Strong skills in at least one major bookkeeping tool: Xero, QuickBooks, Moneybird, or similar.
• Advanced Excel / Google Sheets — pivot tables, formulas, dashboards. You can build a clean monthly report from scratch.
• Excellent written English. Daily updates and clear communication are non-negotiable.
• Discretion. You will see private financial information. I need someone I can trust completely.
• Proactive mindset. You spot patterns, flag issues, suggest improvements without being asked.
• Reliable internet, stable workspace, ID Proof verified on Onlinejobs.ph.
Nice to have
• Experience with Dutch VAT (BTW) or EU VAT rules.
• Familiarity with Moneybird, e-Boekhouden, or Exact Online.
• Experience with receipt-management apps like Dext or Hubdoc.
• Background working with multiple legal entities (holding + subsidiaries).
The work setup
• Hours: [4/5] hours per week. Flexible, but at least a few hours overlap with European business hours (CET).
• Pay: competitive, based on experience. Paid monthly via [your preferred method].
• Type: long-term role. I'm investing in finding the right person; I expect you to invest in growing into the role.
• Trial: paid 1-week trial project before we commit to ongoing work.
How to apply
Send me a message that includes the following — applications missing any of these will be skipped:
• Start your message with the word "READ ME" in the description of the mail so I know you read this carefully.
• A short paragraph (max 150 words) about your most relevant experience — which tools, what kind of clients, how many entities you've managed at once.
• One example of a monthly report or financial overview you've built before. A screenshot or anonymized sample is perfect.
• Your answer to this question:
"If I gave you access to my bank feeds and a stack of unsorted receipts on day one, what are the first three things you would set up before you start booking anything?"
• Your hourly rate in USD and how many hours per week you can commit.
I read every application personally. Looking forward to hearing from you.
