Our company regularly bids on projects from school districts, transportation agencies, municipalities, and other public organizations.
We are looking for a detail-oriented Bid Coordinator who can help manage our bidding process, organize documents, communicate with subcontractors, and ensure bids are prepared accurately and submitted on time.
This role follows a structured Standard Operating Procedure (SOP), so organization, communication, and discipline are essential.

Position Overview
The Bid Coordinator will manage the administrative and coordination aspects of the bidding process. This includes reviewing bid documents, creating bid requirement checklists, coordinating subcontractor outreach, tracking addenda, scheduling site visits, and preparing bid documents ahead of deadlines.
The goal of this role is to ensure DK Construction submits complete, compliant, and competitive bids on time.

Key Responsibilities
Bid Opportunity Management
Monitor and track construction bid opportunities
Log all opportunities into the company bid tracking system
Organize project documents and maintain digital folders

Bid Document Review
Review plans, specifications, and instructions to bidders
Create a Bid Document Requirements Checklist
Identify all required forms, bonds, certifications, and attachments
Bid Preparation
Prepare bid packages at least 5 business days before the bid deadline
Ensure all required forms and documents are completed
Track and incorporate addenda into bid documents

Subcontractor Coordination
Contact subcontractors and suppliers for pricing
Send invitations to bid
Follow up with subcontractors to ensure coverage
Maintain communication logs

Phone Outreach
The Bid Coordinator will dedicate 2–3 days per week making phone calls to subcontractors and vendors.

Weekly schedules rotate between:
Phone call days
Documentation and bid preparation days

This structure ensures strong subcontractor relationships and timely follow-ups.

Site Visits & Pre-Bid Meetings
Track mandatory and optional site visits
Notify the team weekly and provide reminders
Ensure attendance requirements are met
Bid Bond Coordination
Request bid bonds from the company bonding agent
Ensure bonds are secured at least 7 days before the bid due date

Bid Submission
Prepare final bid documents
Verify compliance with submission requirements
Submit bids via email, portal, or hard copy instructions
Record confirmation of submission

Required Skills
Strong organizational skills
Excellent English communication (written and spoken)
Attention to detail
Ability to follow Standard Operating Procedures
Comfortable making phone calls to subcontractors
Ability to manage multiple deadlines

Preferred Experience
Construction bidding or estimating support
Administrative support for contractors
Experience reading construction plans (preferred but not required)
Experience with Excel, Google Sheets, or CRM tools
