About the Role
We are looking for a high organised and detail-oriented Bid Coordinator to support the preparation and submission of tenders and commercial bids for our business.
The role will involve coordinating the bid process from receipt of a tender through to final submission. You will be responsible for managing tender documentation, completing administrative requirements, coordinating information from different departments and ensuring that all submissions are accurate, complete and delivered on time.
You will work closely with our technical, commercial, finance and project teams, to gather the information required for each bid.
Key Responsibilities
• Manage and coordinate tender and bid submissions from initial receipt through to final submission.
• Review tender documents and identify submission requirements, deadlines, forms and supporting documentation.
• Maintain a clear bid tracker and tender pipeline, ensuring all deadlines and actions are monitored.
• Complete and coordinate administrative and pre-qualification documentation, including company information, questionnaires, declarations, certificates and compliance documents.
• Coordinate with relevant personnel within the business to obtain technical information, specifications, supplier quotations, costs and commercial information required for each tender.
• Work with the commercial and management teams to coordinate pricing and ensure all required commercial information is included.
• Prepare tender response documents and ensure that all required sections are completed correctly.
• Check submissions for accuracy, consistency and completeness before submission.
• Maintain organised records of submitted bids, supporting documents, quotations and correspondence.
• Ensure all bids are submitted within the required deadline and in accordance with the clients specified format and instructions.
• Follow up internally on outstanding information and actions to keep bids progressing.
• Support general business development and tender administrative activities as required.
Skills & Experience
• Previous experience in bid administration, tender coordination, sales administration, procurement, project administration or a similar role.
• Excellent organisational and time management skills
• Strong attention to detail and ability to work accurately to tight deadlines.
• Confident communicating with different teams and following up on outstanding information.
• Good working knowledge of Microsoft Office, particularly Word and Excel.
• Ability to manage multiple bids and deadlines at the same time.
• Comfortable working with detailed documentation and following tender instructions.
• Commercial awareness and an ability to understand basic pricing and quotation information.
• Able to work independently while also coordinating effectively with a wider team.
The Ideal Candidate
The successful candidate will be someone who is highly organised, proactive and commercially aware, with a
strong eye for detail. You should be comfortable taking ownership of a tender once it is received, identifying
what is required, coordinating the relevant people and making sure nothing is missed before the submission
deadline.
The key requirement is the ability to coordinate the process, obtain the right information from the right
people and keep the bid moving towards a successful, on-time submission.
