Back Office Administrator & Lead Generation Manager
Construction / Home Services – U.S. Market (California Focus)
Office Operations & Schedule: Office Operating Hours: 7:00 AM – 8:00 PM (California Time – PST)
Schedule: Rotating shift schedule within operating hours
Shift Length: 8 hours per day Break: 45-minute break
Work Days: 5 days per week
Sunday Availability: Required – minimum 2 Sundays
per month (rotational)
Compensation: Base Salary: $800 biweekly
Additional rewards and performance-based

About the Role:
We are looking for a high-level Back Office Administrator & Lead Generation
Manager who can run office operations, build systems from scratch, and control the flow of the
business.
This is not a basic VA role.
You will be the central operations manager responsible for building and
managing a CRM/CLM system, handling all incoming leads, managing calendars, appointments,
crews, and speaking directly with U.S.-based customers and clients on the phone.
Key Responsibilities:
CRM / CLM & Lead Management: Build and manage a CRM / CLM system from scratch Track
leads from all channels (calls, forms, ads, social media) Manage pipelines, follow-ups, statuses,
and reporting Ensure zero lead loss
Calendar & Appointment Management: Manage the owner’s calendar Schedule, confirm,
reschedule, and follow up on appointments Coordinate schedules between customers, crews, and
management
Customer & Client Communication:
Handle inbound and outbound phone calls with U.S.-based
customers Communicate clearly and professionally in excellent English Confirm appointments,
follow up on leads, and resolve basic issues
Office & Crew Operations:
Coordinate daily operations with office staff and field crews Ensure
crews are scheduled, informed, and prepared Maintain internal processes, SOPs, and
documentation Act as the main back-office point of contact
Required Experience:
Proven experience in back-office administration or operations Experience
building or managing a CRM / CLM system Experience in lead generation, lead handling, or
appointment setting Experience working with U.S.-based businesses Strong experience handling
phone calls with clients
Required Tools & Skills:
CRM systems (GoHighLevel, HubSpot, Zoho, Salesforce, or similar)
Google Workspace (Calendar, Sheets, Docs) Phone systems / VoIP / CRM calling tools Excellent
spoken and written English Strong organizational and multitasking skills Confident, professional
phone presence
Technical Requirements:
Professional workstation Strong, stable high-speed internet Working
headset or microphone Quiet work environment suitable for frequent calls
