We are looking for a highly skilled and tech-savvy Automations Virtual Assistant (Project Basis) to join our growing remote team. In this role, you will be the backbone of our digital operations — building intelligent workflows, maintaining CRM systems, designing dashboards, and helping streamline our day-to-day processes through smart automation.
This is an ideal role for someone who loves solving problems with technology, thrives in a fast-paced virtual environment, and has hands-on experience with modern automation and CRM platforms.
KEY RESPONSIBILITIES
Automation & Workflow Building
• Design, build, and maintain automated workflows using tools such as Zapier, Make (formerly Integromat), n8n, or similar platforms
• Integrate third-party apps and APIs to reduce manual work and increase operational efficiency
• Monitor and troubleshoot existing automations to ensure reliability
CRM Management
• Manage and optimize CRM systems including Go High Level, HubSpot, and/or Follow Up Boss
• Build and maintain pipelines, contact workflows, lead nurture sequences, and tags/segmentation
• Ensure data accuracy and clean record-keeping within CRM platforms
• Train tea
Dashboard & Reporting
• Build and maintain performance dashboards using tools such as Google Looker Studio, Databox, or similar BI tools
• Pull and organize data from multiple sources to create clear, actionable reports
• Support leadership with weekly/monthly reporting needs
Website & Tech Support (Bonus)
• Assist with website updates, landing page builds, or minor edits using WordPress, Webflow, ClickFunnels, or GoHighLevel sites
• Coordinate with vendors or internal team on technical integrations
General Tech & Administrative Support
• Provide ongoing virtual assistance to support daily operational tasks
• Document SOPs for automations and tech processes
• Research and recommend new tools to improve team productivity
QUALIFICATIONS & REQUIREMENTS:
Required
• 2+ years of experience as a Virtual Assistant or in a similar tech-focused role
• Proven hands-on experience with automation platforms (Zapier, Make, n8n, or equivalent)
• Proficiency in at least one major CRM: Go High Level, HubSpot, or Follow Up Boss
• Experience building dashboards and working with reporting tools
• Strong working knowledge of Google Workspace (Sheets, Docs, Drive, Gmail)
• Excellent written and verbal communication skills in English
• Self-starter with strong attention to detail and the ability to manage multiple priorities
• Reliable high-speed internet and a dedicated home office setup
