Job Title: Automation & CRM Systems Specialist (AI Automation)
Location: Remote
Employment Type: Contract (Long-Term)
Working Hours: EST / PST Overlap Preferred
Compensation: Flexible ($500–$1,500/month depending on scope & experience)
Overview
We are currently hiring across multiple roles for our clients. Because of this, we are looking to build a pipeline of highly skilled Tech Virtual Assistants and Automation Specialist who specialize in different areas such as , CRM management, automation, building workflows, and systems operations.

Core Focus Areas

1. Automation & Systems Engineering
• Build workflows using n8n, Zapier, or Make
• API integrations, webhooks, and data synchronization
• Automation across CRM,
2. CRM & Pipeline Management
• HubSpot and/or GoHighLevel (GHL) setup and optimization
• Pipeline architecture, deal stages, and workflow automation
• CRM integrations (e.g., Zoho, Apollo, Google tools)
3. Outreach & Marketing Automation
• Cold
• SMS automation and autoresponders
• Lead nurturing sequences and campaign setup
4. AI & Voice Automation
• AI tools (ChatGPT, Claude) for content and workflows
• Voice AI systems (e.g., Retell AI, Vapi, Elevenlabs or similar)
• AI-assisted automation for outreach

Key Responsibilities
System Setup & Implementation
• Build and configure CRM systems (HubSpot, GHL)
• Set up pipelines, automations, and integrations across tools
• Connect platforms such as
Automation & Workflow Management
• Design and maintain workflows
• Ensure seamless data flow across systems
• Configure booking systems, triggers, and multi-step automations
Integrations & Technical Operations
• Manage API connections, webhooks, and third-party integrations
• Ensure accurate CRM data synchronization
• Maintain system reliability across multiple environments
AI & Communication Systems
• Implement AI tools for content, automation, and workflows
• Configure voice AI systems for inbound/outbound communication
• Support automation for campaigns, outreach, and internal ops
Monitoring, Troubleshooting & Optimization
• Monitor system performance and resolve issues quickly
• Fix broken automations, data inconsistencies, and integration errors
• Continuously optimize workflows for efficiency and scalability
Documentation & Support
• Create SOPs and system documentation
• Conduct walkthroughs and handoffs when needed
• Support leadership with system insights and improvements

Basic Requirements (Must-Have)
• Strong experience with at least one CRM (GoHighLevel or HubSpot)
• Hands-on experience with automation tools (n8n, Zapier, or Make)
• Experience with API integrations, webhooks, and workflow logic
• Familiarity with

• High attention to detail and system organization
• Ability to manage multiple projects independently
