EJF is a property management company headquartered in Washington, DC. We are looking for an Assistant Property Managers for After-Hours Call for our growing team. A successful candidate will enjoy solving problems, is responsible, organized, detail oriented, and reliable.
Position Overview:
EJF Property Management is seeking experienced After-Hours Assistant Property Managers to support our growing portfolio of community associations during non-business hours (Eastern Standard Time). This role is critical in ensuring continuity of service, handling urgent matters, and maintaining high levels of responsiveness for board members, homeowners, and vendors outside of standard business hours.
The ideal candidate is proactive, highly organized, detail-oriented, and thrives in a fast-paced environment while working independently. Strong problem-solving skills and the ability to manage urgent situations with professionalism are essential.
Schedule: 2 am - 10 pm (EST) | 2 pm to 10 pm (PHT)
Key Responsibilities:
After-Hours Operations & Support:
- Serve as the primary after-hours point of contact for homeowners, board members, and vendors
- Monitor and respond to incoming calls,
- Triage and prioritize requests, distinguishing between routine inquiries and urgent/emergency issues.
Maintenance & Emergency Coordination:
- Dispatch and coordinate emergency maintenance requests (e.g., plumbing leaks, electrical issues, safety concerns)
- Communicate with on-call vendors and ensure timely response and resolution

Work Order & System Management:
- Create, update, and track after-hours work orders in property management systems (e.g., Vantaca, CINC)
- Ensure all after-hours activities are accurately logged and communicated to daytime teams
Client & Resident Support:
- Provide prompt assistance to homeowners regarding urgent concerns or service needs
- Maintain professionalism and empathy when handling escalations or sensitive situations
Administrative & Documentation Support:
- Maintain accurate and organized digital records of after-hours activities
- Prepare detailed shift reports summarizing key issues, actions taken, and pending follow-ups
- Assist with documentation requests as needed during after-hours coverage
Financial & Compliance Support (Limited After-Hours Scope):
- Flag urgent billing or vendor-related issues requiring immediate attention
- Support basic invoice or contract inquiries when necessary
Other Duties
- Perform additional responsibilities as assigned to support business continuity
Qualifications:
- Required: Experience in property management, real estate, or community association management
- Minimum 1 year experience in HOA and/or condominium management
- At least 2 years of remote work experience, with proven ability to work independently
- Experience handling after-hours support, emergency coordination, or on-call operations is highly preferred
- Familiarity with property management platforms such as Vantaca or CINC (strong plus)
- Proficiency in Microsoft Office Suite (Outlook, Excel, Teams, etc.)
