Discover Denver Tours is the leading walking and bus tour operator in Denver, Colorado, USA with an opening for a reliable long-term Virtual Assistant to help with administrative and customer service tasks.
This is a long-term position with steady weekly hours of 33 hours/week minimum and opportunities for optional additional hours (40+) during the busy season (April-October).
General Tasks Include:
Responding to customer
Assisting guests with tour bookings and pricing
Responding to tour guide calls, texts and
Invoicing/Payroll
Scheduling guides
Online research
Lead generation by pulling requested contact information from websites
Data entry
Basic social media posting and scheduling
Basic blog posting and scheduling
REQUIREMENTS:
Excellent written English
Clear spoken with a neutral English accent (at this time we cannot accept applications from any candidates with a moderate or heavy English accent due to the nature of the local business)
Reliable internet (speed test screenshot required)
Detail oriented
Comfortable using Google Drive/Docs/Sheets/Calendar
Specific Tour Operations Support & On-Call Duties:
Act as the primary point of contact for guests and guides during designated on-call periods.
Monitor tour start times and support operations beginning at least 30 minutes before and ending 15 minutes after tour start times.
Respond to guest or guide inquiries including: Late arrivals, directions or meeting location questions, cancellations, Tour logistics, guest concerns or issues
Tour Coordination & Logistics:
Monitor all bookings and cancel all tours that do not meet minimum thresholds according to established Standard Operating Procedures (SOPs)..
Communicate cancellations and alternative options to guests.
Notify guides of schedule changes.
Update booking platforms including but not limited to: Eventbrite, Airbnb, TripAdvisor / Viator, GetYourGuide, Free Tour Community, TicketingHub.
Manage guest waitlists.
Guide Support:
Serve as liaison between guides and owners.
Assist with guide scheduling and onboarding.
Maintain a roster of guide availability each month in Google Calendar.
Track guide hours and assist with payroll preparation.
Scheduling & Staffing:
Develop weekly and monthly tour schedules.
Forecast staffing needs based on demand and bookings.
Assist with recruitment and onboarding of guides.
Marketing & Promotion:
Create and schedule social media content.
Draft SEO-optimized blog content.
Update website pages.
Design marketing materials using both Canva and AI tools.
Coordinate other tourism partnerships and promotions, as needed.
Guest Experience & Quality Control:
Monitor guest reviews and feedback and send guest reviews and feedback to the respective guide(s).
Identify trends or operational improvements.
Assist with quality control tours.
Maintain guest communication templates in Google Drive and Gmail.
Product Development:
Research competitors and local tourism trends, as needed.
Assist with pricing evaluation, as needed.
Technology & Analytics:
Generate booking and attendance reports, as needed.
Maintain accurate listings across booking platforms.
Identify workflow improvements and automation opportunities.
Administrative Support:
Maintain internal documentation and operational procedures.
Update FAQs and internal resources, as needed.
Provide backup administrative support when necessary.
Hours:
33-40 hours per week (33 hours guaranteed. Additional hours available April-October, should the candidate wish to earn additional income)
Must be available on Saturdays and Sundays. Preferred schedule is: Thursday-Monday with Tuesdays and Wednesdays off.
Must be available from 9:15 a.m.-3:45 p.m. MST (UTC?07:00), at a minimum, with preferred times of 8 a.m. - 4:15 p.m. with a 1-hour lunch break.
Pay
$5–$7/hour depending on experience and commensurate with average VA hourly pay for the country you are based in.
