About Aprinta
Aprinta is a growing branded products platform helping businesses purchase and manage promotional products, custom apparel, commercial printing, company stores, packaging, kitting and fulfillment.
We are building an operations organization capable of supporting a large volume of branded merchandise orders across the United States.
We are looking for a Promotional Products & Apparel Purchasing Specialist to help manage purchasing, sourcing, production and vendor relationships.
The Position
This is not a basic order-entry or virtual assistant position.
You will be responsible for helping manage promotional merchandise and apparel orders from customer approval through production and delivery.
You will work directly with suppliers, manufacturers, decorators and production partners.
You will be responsible for sourcing products, checking inventory, obtaining vendor pricing, creating purchase orders, coordinating artwork and proofs, tracking production and resolving problems.
Candidates with previous promotional products industry experience are strongly preferred.
Key Responsibilities
Order Management
Review incoming orders for accuracy and completeness.
Verify product SKU, color, quantity, size breakdown, decoration requirements and delivery date.
Confirm product inventory before placing orders.
Identify missing information before an order enters production.
Manage orders from approval through final delivery.
Maintain accurate status information for every assigned order.
Product Sourcing
When a specific product isn't available or isn't competitive, you will be expected to find a solution.
Responsibilities include:
Search supplier catalogs and websites.
Identify comparable products.
Check inventory.
Compare pricing.
Compare decoration capabilities.
Compare production times.
Find alternatives for out-of-stock products.
Identify better-value alternatives when appropriate.
Locate new suppliers and manufacturers.
You should become an expert at answering:
Where can Aprinta buy this product at the best combination of price, quality and delivery time?
Purchasing
Obtain supplier pricing.
Verify net/distributor pricing.
Understand setup charges and decoration charges.
Compare supplier costs.
Negotiate pricing on larger opportunities.
Create purchase orders.
Submit POs to suppliers.
Verify supplier acknowledgements.
Compare acknowledgements against the original PO.
Resolve discrepancies before production.

Responsibilities include confirming style numbers, colors, size availability and inventory before purchasing.
Decoration
Candidates should understand or be prepared to learn decoration methods including:
Screen printing
Embroidery
Heat transfer
Direct-to-garment
Direct-to-film
Pad printing
Laser engraving
Debossing
Full-color digital printing
Sublimation
You will need to understand how decoration method, number of colors, imprint locations and quantities affect production cost.
Artwork & Proof Management
Submit customer artwork to suppliers.
Confirm correct artwork is attached to each order.
Obtain virtual or production proofs.
Compare proofs against customer specifications.
Verify logo placement.
Verify imprint size.
Verify imprint colors.
Verify product color.
Confirm decoration locations.
Coordinate corrections.
Ensure required approvals are obtained before production.
Supplier Management
Develop strong working relationships with suppliers and decorators.
Responsibilities include:
Maintaining supplier contacts.
Tracking supplier performance.
Identifying preferred suppliers.
Maintaining backup suppliers.
Monitoring pricing.
Resolving supplier problems.
Obtaining credits and reprints when vendors make mistakes.
Continually identifying better suppliers.
Experience with major U.S. promotional-products and apparel suppliers is a major advantage.
Examples may include suppliers such as SanMar, S&S Activewear, alphabroder, PCNA, Hit Promotional Products, Gemline, Koozie Group, Logomark and similar industry suppliers.
Production & Shipping
Track production schedules.
Confirm ship dates.
Follow up proactively with suppliers.
Identify late orders before deadlines are missed.
Obtain tracking information.
Verify shipping destinations.
Monitor important deliveries.
Escalate potential delivery problems immediately.
Problem Resolution
When an order has a problem, you are expected to help solve it.
Examples include:
Product goes out of stock.
Supplier misses production date.
Incorrect product arrives.
Decoration is incorrect.
Quantity is short.
Product arrives damaged.
Customer changes specifications.
Shipment is delayed.
Vendor charges don't match the quote.
Work with the supplier and Aprinta team to determine the fastest and most cost-effective solution.
Cost & Margin Management
You are purchasing on behalf of Aprinta, so protecting margin is an important part of the position.
Responsibilities include:
Confirming supplier pricing.
Comparing costs between vendors.
Recording actual product and decoration costs.
Identifying unexpected charges.
Finding purchasing savings.
Negotiating larger orders.
Identifying products where Aprinta's existing costs are not competitive.
