We are a growing digital marketing company seeking a reliable and organized Admin/Virtual Assistant to support our daily operations and help streamline our workflows.
Key Responsibilities
Manage and respond to
Schedule and coordinate meetings, calls, and appointments using online calendar tools.
Assist with content organization and basic editing for social media posts, blogs, and newsletters.
Support the marketing team by preparing reports, tracking campaign performance, and updating spreadsheets.
Maintain and organize digital files, marketing assets, and client databases.
Handle invoicing, billing follow-ups, and basic bookkeeping tasks as needed.
Monitor social media channels for customer engagement and escalate important issues.
Coordinate with freelancers, contractors, or vendors on project tasks.
Conduct online research to gather information relevant to marketing campaigns or client needs.
Perform general administrative tasks such as data entry, document preparation, and follow-up reminders
QuickBooks Management:
Categorize expenses and transactions accurately in QuickBooks.
Assist with client billing and invoicing processes.
Support payroll processing tasks.
Project Management:
Clean up and organize ClickUp workspace to improve task tracking.
Provide light project management support, including task follow-ups and deadline monitoring.
Graphic Design:
Create simple, branded graphics using Canva for social media posts and marketing materials.
Research & Outreach:
Conduct basic research to support marketing and business development efforts.
Assist with
Requirements
Experience with QuickBooks (categorizing, billing, payroll).
Familiarity with ClickUp or similar project management tools.
Basic graphic design skills using Canva or similar platforms.
Strong organizational skills and attention to detail.
Good communication skills for
Ability to work independently and manage multiple tasks efficiently.
Preferred Qualifications
Previous experience in digital marketing or agency environment.
Comfortable using Google Workspace (Docs, Sheets, Gmail).
Proactive mindset with problem-solving abilities.
