???? About the Role
We’re looking for a smart, tech-savvy, and reliable Airbnb Virtual Assistant to help manage multiple short-term rental properties. This role combines guest management, cleaner coordination, calendar control, operations oversight, and automation management — all while using AI tools to improve efficiency.
This is a mostly passive role — you won’t be working nonstop throughout the day, but you must remain available and responsive to guests, cleaners, and management during your shift. During certain times, you’ll handle active tasks such as confirming cleanings, managing stock orders, or adjusting automations.
???? Responsibilities
Guest & Booking Management:
- Respond quickly and professionally to guest messages (via Airbnb app or desktop)
- Send check-in instructions, access codes, and digital house manuals
- Handle guest issues calmly and coordinate with cleaners or maintenance as needed
- Manage all property calendars across Airbnb, VRBO, and
- Request 5-star reviews and manage public review responses
Operations, Cleaners & Calendar Management:
- Oversee cleaning schedules — assign, confirm, and track cleanings for each property
- Maintain cleaning and laundry logs, including payments and confirmations
- Monitor and manage the Airbnb calendar to prevent double-bookings
- Track maintenance and repairs, coordinating with appropriate service providers
- Order and restock supplies (toiletries, linens, kitchen essentials) when inventory runs low
- Maintain and update property operations dashboard
Tech, AI & Automation Management:
- Use ChatGPT or other AI tools to generate message templates, reports, and follow-ups
- Manage and optimize automations inside Hospitable, Zapier, or GoHighLevel
- Set up workflows for guest messages, cleaner notifications, and internal alerts
- Maintain Google Sheets or Notion dashboards for reports and automated summaries
- Research and recommend new AI tools to improve communication, operations, and efficiency
Admin & Reporting:
- Maintain occupancy, revenue, and expense reports
- Generate weekly summaries with key insights
- Track cleaning payments, restock expenses, and operational costs
- Assist with refining internal SOPs (Standard Operating Procedures)
???? Availability & Schedule
• Must be available between 11:00 AM – 9:00 PM EST (Eastern Standard Time)
• Majority of hours are passive availability (you won’t always be actively working but must remain reachable)
• Some active work periods required (cleaning coordination, reporting, updates)
• Weekend availability required (guest check-ins/check-outs, cleaning follow-ups)
• Must stay responsive via phone or messaging apps during assigned hours
? Requirements
• 1–2 years of experience managing Airbnb or short-term rentals (VA or co-host preferred)
• Excellent English communication skills (written and spoken)
• Reliable high-speed internet and backup data plan
• Tech-savvy and comfortable using AI and automation tools
• Strong organizational and problem-solving skills
• Calm, professional, and dependable under pressure
• Capable of multitasking across guest messages, cleaner coordination, and reports
