JOB OVERVIEW

We are a corporate housing/Airbnb Management company that has over 65+ properties across UK, and expanding into the across the nation.

We are currently looking for a Short-Term Rental VA that can help grow our network of businesses booking with us.

Guest Communications (Primary Focus)
• Monitor and respond to all guest messages across Hostaway, Airbnb, ---------- , WhatsApp, and email
• Handle pre-booking enquiries, providing accurate information on parking, amenities, check-in procedures, and property features
• Process and respond to early check-in and late check-out requests per SOP
• Manage guest complaints and concerns, escalating refund or compensation requests to management
• Coordinate with cleaning and maintenance teams when guest issues require physical action
• Process booking modifications, cancellations, and date changes
• Manage post-checkout damage claims and security deposit disputes
• Maintain formal, grammatically impeccable communication standards at all times

Review Management
• Monitor and respond to all guest reviews across platforms
• Craft thoughtful responses to negative reviews that address concerns professionally
• Implement proactive review solicitation strategies beyond automated requests
• Track review scores and identify patterns requiring operational attention

Calendar Management & Direct Bookings
• Manage calendar across all channels via Hostaway
• Process and manage direct bookings
• Execute strategies to convert OTA bookings to direct
• Proactive outreach to previous guests to drive repeat direct bookings
• Conduct FYP sync checks across platforms

Essential Experience
• Minimum 2 years' experience in short-term rental or aparthotel operations
• Proven experience with Property Management Systems (Hostaway preferred)
• Direct experience with revenue management tools (PriceLabs or similar)
• Track record managing guest communications at scale
• Experience with Airbnb and ---------- extranet management

Technical Requirements
• Highly proficient with technology and quick to learn new software
• AI-proficient: comfortable using AI tools to enhance productivity
• Experience with Hostaway, Airbnb, ---------- platforms
• Competent with Microsoft Teams, WhatsApp, and email communication
• Ability to follow and execute from detailed SOPs

Communication & Language
• Impeccable written English with perfect grammar and spelling
• Professional, formal communication style
• Clear spoken English for team coordination

Working Style
• Self-directed with strong decision-making within defined parameters
• Comfortable with reactive and proactive work balance
• Reliable availability during scheduled hours (Wednesday–Sunday, 15:00–23:00 UK)
• Ability to work weekends as standard

Requirements:
* Experience in short-term rental management
* Strong organisational and communication skills - especially the ability to follow up with guests and the team on issues.
* Ability to prioritise tasks and manage multiple responsibilities
* Strong problem-solving skills
* Ability to handle emergency situations in a professional manner
* Answering emergency calls and help guests resolve issues such as lockouts, flooding, etc.

Accountability & Reporting
You are responsible for day-to-day execution; management is accountable for strategy and outcomes. This means:
• Autonomous decision-making on guest communications using SOPs
• Weekly calls to review pricing strategy, listing optimisation, and performance
• Clear documentation and approval process for listing changes
• Escalation of refund/compensation requests to management
