Agency Operations Manager / Executive Assistant (Remote)

We are a growth marketing agency specializing in social media, short-form video content, paid advertising, CRM systems, sales funnels, and marketing automation.

Our founder has over 10,000 hours of marketing experience and has helped businesses generate more than $15 million in revenue through social media marketing. We're building a scalable agency powered by systems, automation, and a high-performing remote team.

We're looking for an Agency Operations Manager / Executive Assistant to become the founder's right hand and help build the operational backbone of the company.

This role is focused on organization, systems, coordination, and execution. Not doing every task yourself.

As the agency grows, you'll also help recruit, train, and manage additional Virtual Assistants who will support you.

Your mission is simple:

Build systems so the founder can focus on sales, strategy, and growing the agency.

You will be responsible for creating organization, documenting processes, coordinating projects, and ensuring the team stays on track.

As new work is created, you will identify opportunities to delegate repetitive administrative tasks to additional Virtual Assistants.

Core Responsibilities:

Operations

* Manage daily agency operations
* Organize ClickUp, Asana, or Notion
* Track deadlines
* Coordinate projects
* Maintain internal organization

SOP Development

* Convert Loom videos into written SOPs
* Document agency workflows
* Organize the company knowledge base
* Continuously improve processes

---

Team Coordination

* Coordinate communication between contractors
* Schedule meetings
* Track deliverables
* Follow up with tea ---------- mbers
* Ensure projects move forward

---

Hiring & Team Building

Research and organize candidates for:

* Video Editors
* Videographers
* Social Media Managers
* Paid Ads Specialists
* GoHighLevel Specialists
* Graphic Designers
* Additional Virtual Assistants

As our Operations Manager, you'll also help interview, onboard, and train future VAs who will support the agency.

* Research
* Document creation
* Meeting notes
* CRM updates

What You Will NOT Be Responsible For

You are NOT expected to:

* Edit videos
* Design graphics
* Run paid advertising
* Build GoHighLevel automations
* Write marketing strategy
* Manage every client account yourself

Instead, you'll coordinate the specialists responsible for those services.

Growth Opportunity

As the company grows, you'll transition from an Executive Assistant into an Operations Manager leading a small remote operations team.

You'll help hire and oversee additional Virtual Assistants who will handle:

* Data entry
* Content scheduling
* Research
* Administrative support
* SOP formatting
* Reporting
* CRM updates
* Other recurring operational tasks

Your role will become less about doing the work yourself and more about building and managing the systems that keep the agency running smoothly.
