JOB OVERVIEW

We are looking for a reliable Virtual Assistant to manage Instagram DMs and our Affiliates (via the Superfiliate Platform)
This is an ongoing, long-term role for someone who is comfortable communicating with creators, managing multiple conversations, following up consistently, and keeping every opportunity organized from initial outreach through published content.

Responsibilities:
• Send personalized outreach messages through Instagram
• Onboard affiliates through the Superfiliate platform
• Respond to affiliate questions promptly & professionally
• Follow up consistently from first contact until the creator posts
• Coordinate product freebie shipments, affiliate links, discount codes
• Re-engage inactive affiliates and encourage additional content
• Identify strong-performing creators who may be suitable for paid UGC or deeper partnerships
• Provide regular reports on outreach, published posts, and program performance
• Escalate important creator questions, complaints, or partnership opportunities to the Healthybud team

What Success Looks Like
• Outreach is completed consistently each week
• Creator conversations receive fast follow-up
• Very few opportunities are lost because someone was forgotten
• Affiliates move efficiently from outreach to onboarding to published content
• Tracking and reporting are always accurate and up to date
• Communication feels friendly, personal, and aligned with the Healthybud brand
• The number of active affiliates and affiliate-generated sales grows over time

Requirements
• Excellent written and spoken English
• Strong attention to detail and follow-through
• Comfortable communicating through Instagram DMs and email
• Able to manage many conversations at different stages
• Organized, dependable, and responsive
• Able to follow established scripts, processes, and brand guidelines
• Ability to overlap for part of the day with Eastern Time business hours

Preferred Experience
• Instagram outreach
• Influencer or affiliate marketing
• Creator relationship management
• Superfiliate, Shopify, Klaviyo, Slack, or similar platforms
• Pet, wellness, e-commerce, or consumer-product brands

The role will be evaluated based on metrics such as:

• Affiliates successfully onboarded
• Product recipients who publish content
• Average time from outreach to published post
• Follow-up completion rate
• Active affiliate growth
• Affiliate sales and content generated
