This role sits within the Sales Department and may support sales-related work across different clusters as the company grows. Depending on business needs, this role may support coaching program sales, appointment setting, client outreach, advertising sales support, lead generation, account management, follow-up, CRM tracking, or other revenue-related projects.

## Role Overview

The Sales & Account Support Virtual Assistant supports the front-end and middle stages of the sales and client-development process across Summer House Media Co. and related business clusters.

This person helps identify qualified prospects, initiate conversations, follow up with interested leads, maintain CRM records, schedule appointments, support account communication, and help move prospects toward the appropriate next step.

This is not a passive administrative role. The right person must be comfortable with outreach, follow-up, written communication, relationship-building, pipeline tracking, and helping convert interest into action.

The first major assignment for this role may include supporting sales for **Make Your Move: A 6-Week Faith-Informed Clarity Intensive**, a coaching program offered through The Sprout Community. Over time, this role may also support other Summer House Media Co. sales, advertising, client service, partnership, or account-management priorities.

## Role Purpose

The purpose of this role is to help Summer House Media Co. and its related clusters build organized, consistent, and relationship-driven sales support systems.

This role helps ensure that strong leads are identified, conversations are started, follow-ups are completed, appointments are booked, CRM records are accurate, and prospects receive clear next steps.

The Sales & Account Support VA helps prevent leads from falling through the cracks and supports the company’s ability to grow revenue through consistent outreach, organized follow-up, and professional communication.


## Initial Focus Area: Make Your Move Program Sales Support

One potential focus of this role will be supporting sales and enrollment for **Make Your Move: A 6-Week Faith-Informed Clarity Intensive** through The Sprout Community.

The Sprout Community is a faith-informed personal and professional development brand helping high-achieving professionals move from overthinking to aligned action.

Make Your Move is designed for professionals who know they have outgrown their current chapter but feel stuck between comfort and conviction. The program helps participants stop circling, discern clearly, make the decision they have been avoiding, and execute with confidence, courage, and stewardship.

When assigned to this cluster, the Sales & Account Support VA will help identify, connect with, qualify, and follow up with prospective participants who may be a strong fit for the program.

## Key Responsibilities

### Lead Research and Prospecting

* Research potential leads who align with assigned offers, campaigns, programs, services, or client opportunities.
* Identify prospects through approved platforms such as LinkedIn, Instagram, Facebook groups, event communities, professional networks, email lists, prior lead lists, and other approved sources.
* Build and maintain organized lead lists with accurate contact information, notes, qualification details, source information, and follow-up status.
* Prioritize leads based on alignment with the target audience, readiness, need, offer fit, and likelihood of taking action.
* Research high-achieving professionals, emerging entrepreneurs, career pivoters, creators, founders, purpose-driven leaders, small business owners, or other assigned audience segments.
* Identify warm leads from past events, email engagement, social media interaction, referrals, prior conversations, or existing community relationships.

### Outbound Outreach

* Send personalized outreach messages using approved scripts, templates, and brand voice guidelines.
* Adapt outreach based on the prospect’s background, interests, business, goals, or likely pain points.
* Start conversations around the relevant offer, opportunity, program, service, or next step.
* Represent the company and related brands with professionalism, warmth, confidence, clarity, and care.
* Avoid spammy, generic, misleading, hype-based, or overly aggressive messaging.
* Track outreach activity clearly, including date contacted, platform used, message sent, response received, and next step.

### Lead Qualification

* Engage prospects in conversation to understand goals, challenges, timing, fit, and level of interest.
* Identify whether a prospect appears ready for the offer, service, program, appointment, discovery call, or next step.
* Ask thoughtful qualification questions using approved language and scripts.
* Track qualification notes accurately and respectfully.
* Identify prospects who may need nurturing, follow-up, additional information, or a different offer.
* Escalate strong leads, concerns, questions, or unusual situations to the appropriate lead or founder.

### Appointment Setting and Next-Step Conversion

* Invite qualified leads to book a discovery call, apply, attend an info session, request details, schedule a consultation, or take another approved next step.
* Help maintain ---------- ntum with interested leads so conversations do not go cold.
* Follow up with warm leads who have expressed interest but have not yet taken action.
* Calendar, confirm, and remind prospects about scheduled calls or next steps when assigned.
* Support the movement of prospects from interest to booked appointment, submitted application, confirmed call, or qualified sales conversation.
* Ensure leads receive clear, accurate, and timely next-step instructions.

### CRM and Pipeline Management

* Maintain organized lead trackers, CRM records, pipeline documents, or sales dashboards.
* Update lead status, outreach history, follow-up dates, call bookings, notes, objections, and qualification details.
* Keep all lead information accurate, current, and easy for leadership or sales leads to review.
* Track follow-up tasks so no strong lead is missed.
* Support pipeline visibility by keeping records clean, organized, and updated.
* Help identify which lead sources, audience segments, platforms, or messages are generating the strongest responses.

### Follow-Up and Nurture

* Follow up with leads who engage with content, events, emails, applications, program information, or social media.
* Reconnect with past event attendees, warm contacts, previous leads, or prior prospects who may now be a better fit.
* Send reminders, next-step messages, application nudges, appointment confirmations, and nurture messages using approved language.
* Maintain professional persistence without pressuring or overwhelming prospects.
* Help build trust and consistency through clear communication and timely follow-up.

### Sales Support and Account Management

* Assist with improving outreach scripts and follow-up templates based on what is working.
* Share feedback from prospects, including common objections, questions, hesitations, language patterns, and themes.
* Help identify patterns in who is responding and what messaging is resonating.
* Support sales campaigns during launch, enrollment, advertising, client-acquisition, or promotional periods.
* Assist with light account-management support, including client or lead follow-up, information requests, reminder messages, status tracking, or relationship-nurture tasks.
* Help ensure prospects, clients, or accounts receive timely and professional communication.

Success in this role may be measured by:

* Number of qualified leads researched
* Number of personalized outreach messages sent
* Response rate from outreach
* Number of qualified conversations started
* Number of discovery calls, applications, consultations, or appointments generated
* Follow-up consistency
* CRM accuracy
* Quality of lead notes and pipeline updates
* Ability to help convert warm interest into next steps
* Quality of communication and brand alignment
* Ability to support more than one sales or account-management priority without losing organization

## Weekly Reporting Expectations

The Sales & Account Support VA will be expected to provide a weekly report that may include:

* Leads researched
* Messages sent
* Responses received
* Qualified leads identified
* Discovery calls, applications, consultations, or appointments generated
* Follow-ups completed
* Follow-ups still pending
* Common objections or questions from prospects
* Lead sources or audience segments performing well
* Recommendations for improving outreach
* Support needed from leadership or the sales lead

## Preferred Experience

Experience in one or more of the following areas is preferred:

* Sales support
* Appointment setting
* Lead generation
* Virtual assistant work
* Client follow-up or account support
* Coaching, consulting, online program, or service-based sales support
* LinkedIn or Instagram outreach
* CRM tracking or pipeline management
* Email follow-up or nurture communication
* Working with a founder-led business or small team

Experience with Google Workspace, Google Sheets, CRM systems, LinkedIn, Instagram, Canva, email platforms, scheduling tools, ClickUp, Trello, Asana, Notion, or similar tools is helpful but not required.

## Compensation

Compensation may include an hourly rate, monthly retainer, commission, appointment-setting bonus, performance-based bonus.

Final compensation terms will be confirmed in writing before work begins.
