JOB DESCRIPTION:
Wonderist Agency is seeking a proactive, organized, and detail-obsessed Global Talent Administrative Specialist to support our Culture & Office operations with a primary emphasis on travel booking and other repeatable administrative workflows. This is a part-time contract role (20–25 hours/week) is designed for someone who thrives on checklists, showcases intuition, and can adapt on the fly. Working closely with Wonderist’s Culture & Office Manager as your direct manager as well as Partnerships and Photo/Video teams, you’ll serve as a key behind-the-scenes operational partner—ensuring important administrative work gets completed reliably and efficiently so internal teams can stay focused on higher-impact initiatives.
This role will help reduce internal lift across logistics-heavy tasks like booking travel, managing confirmations, supporting onboarding workflows, preparing spreadsheets, completing contest submissions, sending reminders, and assisting with recurring operational needs.
WHAT YOU’LL DO:
Own end-to-end travel booking for Wonderist tea
Manage travel changes, cancellations, delays, and last-minute updates with confidence and speed
Track trip details, costs, and confirmations in shared trackers and internal systems
Complete repeatable admin workflows such as gift fulfillment, onboarding support, form submissions, and spreadsheet updates
Communicate proactively with internal stakeholders via Slack and
Support monthly tasks including attendance tracking, contest submissions, budget reconciliation, and documentation upkeep
Keep processes organized and improve workflows over time through better documentation and system consistency

MINIMUM QUALIFICATIONS:
2+ years of administrative support experience
Fluent in English
Proficiency in Google Workspace (Docs, Sheets, Drive, Forms)
Experience booking travel across time zones for multiple people
Strong organizational skills and ability to manage multiple requests at once
