About the Role
We are seeking a detail-oriented, patient-focused Administrative & Insurance Support Coordinator to support the day-to-day operations of our growing vision care practice. This role is critical in ensuring smooth insurance processing, clear patient communication, and efficient office support—while also contributing to appointment coordination and light social media engagement.

Key Responsibilities
Administrative & Insurance Support
Verify vision insurance eligibility and benefits for scheduled patients
Send copay notification
Submit, correct, void, and follow up on insurance claims as needed
Monitor, post, and reconcile insurance payments
Track insurance receivables and outstanding EOBs, including claims not listed on internal claim sheets
Maintain accurate, up-to-date patient records and documentation
Flag incomplete or missing billing items and follow up with the internal team
Communicate with patients when insurance benefits cannot be verified or issues arise
Patient Communication & Office Support
Respond to patient messages related to scheduling and rescheduling appointments
Send prescription and invoice
Email
Cancel expired prescription orders on 1-800 Contacts and follow up with patients as needed
Manage fax inbox, organize and upload documents with appropriate cover sheets
Send review requests and respond to online patient reviews
Maintain and update frame inventory records
Appointment Setting & Social Media Support
Assist with appointment scheduling and patient follow-up
Identify potential UGC creators and assist with outreach, scheduling, and coordination
Manage Instagram direct messages and basic community engagement
Qualifications
Prior experience in medical, optometry, or insurance-based administrative roles preferred
Strong attention to detail and organizational skills
Clear and professional written and verbal communication
Comfortable working with insurance portals, patient management systems, and digital tools
Ability to multitask and manage deadlines in a fast-paced environment
Familiarity with social media platforms (especially Instagram) is a plus
