We're looking for an Administrative Coordinator to support a water, mold, and fire damage remediation contractor. In this role, you'll take day-to-day admin and operational tasks off the owner's plate so the business runs smoothly and customers always get a fast, professional response. It's a great fit if you're organized, dependable, and enjoy keeping things running in the background.
What You'll Do
- Manage the owner's inbox — handle routine messages independently and flag only what truly needs the owner's attention
- Own the calendar — book site visits, coordinate with field crews, and confirm appointments so the schedule stays on track
- Follow up on inbound leads — log new inquiries into the job management system and respond promptly so potential customers hear back quickly
- Create invoices, send payment reminders, and follow up on outstanding balances to keep accounts receivable current
- Keep job records, contact details, and project information accurate and up to date in the business's operational platform
What We're Looking For
- Experience with invoicing, billing, and accounts receivable follow-up, including sending payment reminders and tracking outstanding balances
- Strong calendar and scheduling skills, including coordinating across multiple people and avoiding conflicts
- Comfortable handling customer inquiries professionally and independently
- Organized inbox management — able to triage effectively and stay on top of a busy
- High attention to detail in data entry and record keeping; consistency in how information is logged really matters here
- Clear, professional written English — you'll be communicating with customers on payments, leads, and job inquiries
- Experience in contracting, restoration, field service, or a similar industry is a plus, but not required
- Familiarity with field service management or CRM platforms is helpful; experience with Lever360 specifically is a plus
Schedule & Pay
- Full-time — 40 hours per week
- Monday–Friday, 8:00 AM–4:30 PM Pacific Time (15 hrs. difference)
- Pay rate: $3.00 per hour
