About This Role:
We're looking for an Administrative Coordinator to serve as the primary administrative and client-facing support professional for a growing healthcare practice.
This role is equal parts client communication, scheduling, and operational coordination. You'll be the first person many prospective and existing clients interact with, making professionalism, empathy, and strong communication skills essential.
A significant portion of your day will involve answering calls, responding to inquiries, scheduling appointments, coordinating calendars, and ensuring that clients receive a seamless experience from their first interaction onward.
Because you'll be communicating primarily with U.S.-based clients, excellent spoken and written English is required. You must be able to communicate naturally and professionally in an American business setting with a clear American accent or near-native conversational style.
This is a fully remote position requiring substantial overlap with U.S. business hours.
What You'll Be Doing:
Answer inbound client calls and make outbound calls — warm, professional, confidential
Schedule intake appointments and guide new clients through getting started
Keep clients scheduled, confirmed, and reminded; follow up on cancellations and no-shows
Send and complete intake paperwork and enter it accurately into our EHR (SimplePractice)
Respond to client messages and
Verify insurance eligibility/benefits and assist with authorizations as needed
Maintain strict confidentiality of all client information (HIPAA)
What We're Looking For:
Excellent spoken and written English in an American register/accent, with a clear, friendly, professional phone manner
Experience as a VA, in a call center/BPO, or in a medical/behavioral-health admin role
Strong scheduling, organization, and follow-through
Comfort with EHR/scheduling software, VoIP/phone systems, and standard office tools
Reliable high-speed internet and a quiet, private home workspace
Availability for U.S. Eastern Time business hours, full-time, long-term
Discretion handling confidential client information (HIPAA awareness)
Empathy and professionalism with clients of all ages
Preferred: experience supporting U.S. healthcare/behavioral-health clients; insurance verification/authorizations; SimplePractice or a comparable EHR.
