We are looking for a reliable, highly organized, and well-spoken full-time Administrative Assistant to support daily business operations. This role requires someone with excellent verbal English skills who is comfortable speaking on the phone with clients and representing our company professionally.
You will be responsible for answering phone calls, managing calendars, assisting with sales preparation, and providing light marketing and social media support.
This is a long-term, stable position with consistent hours and opportunity for growth.
Responsibilities
Phone & Communication
• Answer incoming phone calls professionally and confidently
• Speak clearly in fluent English with clients
• Take messages and communicate important information accurately
• Provide professional and friendly customer support
Calendar & Organization
• Manage and organize company calendars using Microsoft Outlook
• Schedule appointments and meetings
• Maintain organized systems, files, and internal records
Sales Support
• Help prepare information and materials for sales calls
• Organize client information and follow-ups
• Assist with administrative sales support tasks
Marketing & Social Media Support (Light)
• Assist with posting content on social media platforms
• Respond to basic customer inquiries on social media
• Help organize marketing materials and content
• Support light marketing coordination tasks
Requirements
• Excellent spoken English — must be confident and professional on phone calls
• Previous experience using Microsoft Outlook (required)
• Experience with Microsoft Teams (preferred)
• Experience with administrative assistant, receptionist, or similar role
• Some experience with social media posting and customer support
• Highly organized and detail-oriented
• Reliable internet connection and professional work environment
• Available full-time, Monday–Friday, 9 AM – 5 PM EST
• Reliable, dependable, and professional
