JOB OVERVIEW

We are seeking a highly organized and detail-oriented Virtual Assistant to support our real estate title company with administrative operations and day-to-day office support. This individual will play a key role in keeping communication streamlined, systems organized, and ensuring nothing falls through the cracks.
This is an ideal role for someone who is task-driven, proactive, and thrives in a structured, fast-paced environment.


Key Responsibilities:
1. Administrative & Office Support
* Manage documents, data entry, and file organization (digital and cloud-based)
* Maintain accurate records and ensure compliance with internal processes

2. Data Entry & Systems Management
* Perform accurate and timely data entry across internal systems and platforms
* Maintain clean, up-to-date records to support reporting and operational efficiency

3. Communication Management
* Monitor and respond to emails in a timely and professional manner
* Coordinate with clients, agents, lenders, and internal tea ---------- mbers

4. SOP (Standard Operating Procedures) Management
* Create, document, and update SOPs for key business processes
* Help improve workflows by identifying inefficiencies and suggesting process enhancements

5. Calendar & Task Management
* Schedule meetings, appointments, and follow-ups
* Track action items to ensure nothing slips through the cracks

6. Marketing & Client Touchpoints
* Assist with email campaigns and newsletters via Mailchimp
* Support client communications and ongoing updates

7. Phone & System Management
* Handle inbound/outbound communication using RingCentral
* Route messages and ensure prompt follow-up


Required Skills & Experience:
* 2–4+ years of administrative or office support experience (real estate or title experience preferred)
* Strong organizational and task management skills
* Excellent written and verbal communication (professional email etiquette required)
* High attention to detail and accuracy, especially with data entry
* Proactive mindset with the ability to anticipate needs and take initiative

Preferred Tools / Systems (Not Required):
* Microsoft Word & Excel
* Outlook (email and calendar management)
* PracticePanther (legal case management)
* Mailchimp (email marketing and newsletters)
* RingCentral (phone and communication system)
* ClosingView (title/closing software)

(Note: We are happy to train the right candidate on these systems.

Nice-to-Haves:
* Experience in a real estate, title, or legal office
* Familiarity with administrative workflows in transaction-based businesses
* Experience creating or managing SOPs
* Basic marketing/email campaign experience
