About the Role
We are looking for an exceptionally precise and detail-oriented Administrative Assistant to support our Dutch consultancy team for bathroom and kitchen renovations. You will play a key role in keeping our business processes organized and efficient. From managing our CRM (HubSpot) and scheduling appointments, to handling client communication and improving internal workflows — your work will directly impact the smooth operation of our projects.

This role requires someone who is not only accurate and reliable, but also enjoys building and improving systems that bring structure and clarity to the team. You will primarily communicate with clients and third parties in Dutch (using AI - via email and WhatsApp) - we are a large company in the Netherlands. Responsibilities
• Manage and update HubSpot CRM (client data, pipelines, documentation, reporting).
• Handle email and WhatsApp communication with clients and third parties — always in clear Dutch.
• Schedule and prepare appointments and meetings, ensuring all relevant information and documents are ready.
• Maintain and organize the shared mailbox and documentation systems, ensuring nothing is overlooked.
• Prepare and follow up on conversations with clients, contractors, or partners.
• Develop and improve processes, SOPs, and internal systems for better workflow and team collaboration.
• Collaborate with colleagues remotely and ensure smooth communication across the team.
• Use AI tools (e.g., ChatGPT) for translation, summaries, and efficiency improvements where applicable.
• Build scalable systems that can later be taught to future assistants, ensuring structured onboarding and consistency.

• Trustworthy & discreet: Reliable handling of confidential data and sensitive information.
• Team player with leadership potential: Willing to support colleagues now, but also capable of onboarding and training future assistants.

Experience & Background
• Minimum 2–5 years of administrative or virtual assistant experience in an international or remote setting.
• Experience with CRM systems (HubSpot is a strong plus).
• Proven ability to manage communication with multiple stakeholders (clients, partners, contractors).
• Experience in process optimization or building documentation systems (SOPs/checklists).
• Background in consultancy, construction, real estate, or renovation industries is a bonus but not required.
• Education level is flexible — we value skills, structure, and precision over formal degrees.
